Purpose of the Job
The System Supervisor is responsible for managing and supervising all Point of Sale (POS) transactions, cash office operations, and banking processes.
The role ensures accurate cash handling, efficient customer service, and proper control of all financial and administrative retail systems.
Key Responsibilities of a System Supervisor
POS Systems & Customer Transactions
- Manage all speed point (debit and credit card) transactions efficiently
- Ensure all POS transactions are processed accurately
- Assist customers with queries, complaints, and service requests
- Provide fast, friendly, and efficient customer service
- Ensure availability of stationery and POS consumables
Cash Handling & Banking Control
- Control store floats including petty cash, till floats, and change floats
- Manage change ordering and distribution
- Record and balance petty cash transactions and vouchers
- Process back-office transactions and cashier cash-ups
- Handle bulk deposits, returns, charge cards, and loyalty card transactions
- Ensure end-of-day POS balancing and reporting
- Supervise daily cash-ups across all tills and back-office systems
- Ensure Cash-in-Transit (CIT) collections are properly managed
Cash Office Management
- Ensure cash office procedures are strictly followed
- Maintain a clean, secure, and organised cash office environment
- Ensure all documentation is properly filed and up to date
- Prevent unauthorised access to cash office areas
- Secure safe keys and ensure strict password control procedures
- Ensure all cash office rules and security protocols are followed
People Management & Supervision
- Supervise and support all cashiers and POS staff
- Ensure staff attendance, scheduling, and leave management
- Provide training and product knowledge to cashiers
- Monitor staff performance and ensure compliance with SOPs
- Ensure staff follow “Ready for Business” procedures daily
- Maintain discipline and productivity within the team
Security & Risk Control
- Monitor suspicious behaviour in and around the store
- Ensure all financial processes are protected against fraud and errors
- Enforce strict access control to cash office and systems
- Ensure safe handling of cash during pickups and CIT collections
- Maintain system password security at all times
Health & Safety (OHSA Compliance)
- Ensure all safety standards are followed within the store
- Maintain a safe working environment for staff and customers
- Report any risks or hazards immediately to management
Minimum Requirements – System Supervisor
To qualify for this position, applicants must meet the following:
Education:
- Grade 12 (Matric)
Experience (Any ONE of the following):
- 5 years relevant retail/cash office experience
OR - 10 years general work experience in related fields
Skills & Competencies:
- Strong numerical and analytical ability
- Excellent customer service skills
- Ability to work under pressure
- Computer literate
- Previous cashier or retail cash office experience
- Strong communication skills in English and local language
- High attention to detail and accuracy
