Primary Key Duties & Responsibilities
1. Secretarial & Personal Assistant Support to the Regional Head
-
Provide high-level secretarial, administrative, and executive support directly to the Regional Head and operational staff within the unit.

Receive, filter, and direct incoming telephone calls to the relevant role players.

Manage, maintain, and coordinate the electronic diary and appointments for the Regional Head.

Type, edit, and format documents, reports, and routine correspondence on behalf of the Regional Head.

Operate standard office equipment, including scanners, fax machines, and photocopiers.
2. Logistics, Travel & Event Management
-
Make local travel and logistical arrangements for meetings, operational events, and official functions.

Prepare travel documentation and coordinate bookings for international travel for all AFU personnel.

Coordinate venue bookings, set up meeting schedules, arrange refreshments, and compile required meeting packs.

Record basic and formal minutes during meetings and prepare them for approval/signature in advance.
3. Administration, Filing & Stakeholder Liaison

Develop and maintain an accessible, secure, and user-friendly physical and electronic filing system.

Handle procurement of standard office items, stationery, and refreshments for the manager and office.

Liaise with relevant internal and external stakeholders on all matters pertaining to administrative operations.

Identify and handle sensitive and highly confidential legal and operational matters with complete discretion and professionalism.
Minimum Requirements
Educational Qualifications & Experience

Minimum Requirement: Grade 12 Certificate (Matric) AND a Secretarial Diploma or relevant equivalent qualification.

Experience: Minimum of three (3) years’ experience rendering support to senior management.

Licence: A valid driver’s licence.

Technical Skills: General computer literacy (MS Word, Excel, PowerPoint), basic legal research capability, and knowledge of relevant public sector legislation, policies, and prescripts.

Soft Skills: Above-average planning and organizing skills, excellent telephone etiquette, strong written and verbal communication skills, and sound interpersonal management.
