Key Performance Areas & Duties
The successful candidate will render executive, secretarial, and strategic administrative support within the Inter-Governmental Relations environment:
Executive Office Management & Communication

Act as the first point of contact for the unit, handling all official correspondence, telephone calls, and enquiries.

Prioritize, schedule, and maintain executive appointment diaries, alerting management to upcoming engagements and deadlines.

Manage access control to the executive/manager and liaise effectively with internal staff, external suppliers, and high-profile clients.
Logistics, Travel & Event Coordination

Coordinate travel logistics, vehicle transport, flight bookings, and accommodation arrangements.

Organize high-level meetings, workshops, strategic inter-governmental events, and conferences.

Prepare agendas, take detailed minutes, and provide complete secretariat support for executive meetings.
Reporting, Financial & Administrative Systems

Type, compile, and format high-level correspondence, executive presentations, and administrative reports.

Conduct preliminary research and draft reports on behalf of the manager.

Implement and maintain systematic records management, digital filing systems, and secure document databases.

Collate, track, and process expense claims and assist with basic cost-center budgeting and financial monitoring.
Minimum Requirements & Competencies
Qualifications & Experience

A minimum of a three-year tertiary qualification (NQF Level 6 / National Diploma) as recognized by SAQA in:

Business Management / Management

Office Support / Management Assistant (or related qualification).

Relevant years of experience in office administration as a clerk, assistant officer, or administrative assistant.

A valid driver’s license is required.
Technical Knowledge & Software Skills

Advanced computer literacy: Advanced proficiency in MS Word and MS PowerPoint; minimum intermediate level in MS Excel.

Knowledge of public sector policies, governance frameworks, and secretarial/administrative protocols.

Practical understanding of document management, archiving systems, and financial/budgetary procedures.

Proficiency in report writing and managing sensitive, high-profile stakeholders will serve as an added advantage.
