Key Performance Areas & Duties

The successful candidate will render comprehensive data capturing, file management, and administrative support services to the court:

Data Entry, Validation & Verification

  • Capture court data from available source records into required formats (databases, tables, spreadsheets, and departmental management systems).
  • Review, validate, and verify incoming case records to identify missing data or errors during data entry.
  • Update court registers, maintain daily/weekly statistics, and make regular backups of all captured data.

Record Management & Case File Security

  • Open files, sort, and distribute incoming case data for capturing in an organized manner.
  • Ensure all case records, court documents, and files in your possession are kept safe, properly sorted, and secured.
  • Collect correspondence from the general office and distribute files and official correspondence to Registrars.
  • Provide support to verification personnel by making data sources and physical files available when requested.

Court Support & Office Administration

  • Attend to queries from Attorneys regarding quasi-judicial matters.
  • Send and receive official emails when requested and immediately report IT technical problems to the supervisor.
  • Provide general administrative support as required by the Judiciary, Court Manager, or supervisor.

Minimum Requirements & Competencies

Qualifications & Experience

  • Grade 12 Certificate / Senior Certificate or equivalent qualification at NQF Level 4 as recognized by SAQA.
  • No work experience is required for this entry-level position.
  • A valid driver’s license will serve as an added advantage.

Knowledge Base

  • Solid understanding of general clerical duties and data capturing practices.
  • Knowledge of Batho Pele Principles and working procedures within a court or legal administrative environment.
