About the Role
As an Admin Assistant I, you will serve as a core operational support pillar for the departmental leadership and sales execution teams. You will maintain smooth workflow processes, ensure schedule accuracy, and handle essential secretarial duties while facilitating communication between internal managers, retail teams, and external trade partners.
This role is ideal for a proactive administrative professional with strong MS Office skills, financial awareness, and an understanding of fast-paced retail or FMCG trading environments.
Key Performance Areas & Primary Responsibilities
Sales Tracking & Reporting

Monitor, record, and track daily and monthly sales data across designated operational regions or trading units.

Assist with compiling sales figures, performance metrics, and presentation decks for operational review meetings.
Coordination of Trade Visits

Coordinate logistically complex trade visits, store walk-throughs, and field manager itineraries.

Organize travel arrangements, meeting agendas, site visits, and post-visit operational feedback documentation.
Budget Management Support

Assist with departmental budget tracking, expense reporting, petty cash handling, and invoice processing.

Reconcile travel and trade visit claims against approved operational budgets in line with corporate guidelines.
Diary Management & Executive Administration

Manage complex calendars, schedule operational meetings, coordinate conference rooms, and prepare meeting packs.

Draft, edit, and send official internal communications, correspondence, and operational announcements.
General Office Administration

Maintain comprehensive electronic and physical filing systems, ensuring strict data accuracy and confidentiality.

Monitor office supplies, manage incoming and outgoing correspondence, and support general facility requirements.
Minimum Requirements – Admin Assistant I
Educational Background & Qualifications

Grade 12 / Matric Certificate (NQF Level 4) (Essential).

Post-Matric secretarial, office management, or administrative qualification (Advantageous).
Work Experience & Technical Competencies

1 to 2 years of administrative or secretarial experience (Essential).

Prior experience working within a Retail or FMCG environment (Highly Advantageous).

Up to 5 years of broad administrative background across sales or operational departments.

Computer Literacy: High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
