Frequently Asked Questions – Records Administrator Jobs Eastern Cape 2026

Do I need records management experience or is Grade 12 sufficient to apply? The post lists Grade 12 / Senior Certificate or equivalent as the only formal requirement — no specific years of experience are stated as a minimum. Knowledge of the National Archives Act and records management is listed under requirements — meaning candidates who can demonstrate this knowledge (through prior study, self-learning, or relevant exposure) will be competitive. This is one of the few permanent government administration posts at this salary level where a Matric holder with the right knowledge base can apply without needing years of formal experience.

What is the National Archives Act and why do I need to know it? The National Archives and Records Service Act (Act 43 of 1996) is the South African legislation that governs how government records are created, managed, retained, and disposed of. It establishes the National Archives and Records Service, defines the responsibilities of government bodies in managing their records, sets retention requirements for different types of documents, and governs the authorised disposal of records once their retention period has expired. As a Records Administrator, you will apply this Act daily — ensuring that the Eastern Cape Provincial Office’s records are managed and disposed of in full legal compliance.

What is a records retention schedule and how is it used in document disposal? A records retention schedule is a formal list that specifies how long each type of government record must be kept before it can be disposed of — for example, financial records may need to be kept for 5 years, HR records for 10 years, and certain policy documents permanently. As Records Administrator, you will use the relevant retention schedules to identify which documents have reached the end of their required retention period — and then prepare those documents for authorised disposal (either destruction or transfer to the National Archives) through the correct approval process.

What does Batho Pele mean and how does it apply to a records management role? Batho Pele means “People First” in Sesotho — and the Batho Pele Principles are the eight service delivery standards all South African public servants must apply: consultation, service standards, access, courtesy, information, openness and transparency, redress, and value for money. In a records management context, Batho Pele applies to ensuring that records are accessible to the right people at the right time, that information is handled openly and transparently, and that requests for records or documents are responded to courteously and within reasonable timeframes.

Is this post in East London or elsewhere in the Eastern Cape? This post is based at the Department of Employment and Labour’s Eastern Cape Provincial Office — located at No. 3 Hill Street, East London. Applications may be submitted to the East London address directly, by post to the Private Bag address, or by email — but the day-to-day work is performed at the East London Provincial Office.

What is the EE note for this post and who is specifically encouraged to apply? Unlike most government posts which target African candidates as the primary EE group, this post specifically encourages Coloured Males, Coloured Females, Indian Males, Indian Females, White Males, White Females, and Persons with Disability to apply — suggesting that the Department is seeking to improve representation of these groups specifically within the Eastern Cape Provincial Office. African candidates are not excluded from applying, but the EE preference for this specific post is directed at the groups listed above.
