Key Performance Areas & Duties

The successful candidate will manage executive administrative operations, secretariat support, and office logistics within the Principal’s office:

Executive Support & Secretariat Services

  • Render comprehensive administrative and executive support services to the Office of the Principal.
  • Provide full secretariat support to the College Council, Council Committees, Academic Board, Senior Management, and external stakeholders.
  • Develop agendas, take meeting minutes, and ensure systematic records management for all college forums.
  • Coordinate, arrange, and support training interventions, sub-committee meetings, and Academic Board committee sessions.

Strategic Management & Office Logistics

  • Provide strategic management, monitoring, and evaluation support services.
  • Oversee and manage all logistics within the Office of the Principal, including stock control for forms and office stationery.
  • Coordinate decor, layout, catering/food service, invitation protocols, and media protocol requirements for official college-hosted functions.

Resource Management & Staff Supervision

  • Manage all human, financial, and physical resources allocated to the unit.
  • Supervise unit staff and ensure the timely completion of annual performance agreements.
  • Monitor expenditure, cost center budgetary requirements, and cash flow management for the unit.

Minimum Requirements & Competencies

Qualifications & Education

  • Grade 12 / Matric Certificate or equivalent.
  • Recognized National Diploma / Degree (NQF Level 6) as recognized by SAQA in:
    • Office Management and Technology
    • Public Management
    • Law
    • Social Science or related qualification.
  • A postgraduate qualification in a relevant field will serve as an added advantage.

Work Experience & Technical Knowledge

  • 3 to 5 years of relevant administrative experience in a professional environment.
  • Practical experience in Office Management, Technology, and Public Management.
  • Practical experience in policy development and implementation strategies.
  • Solid understanding of Public Service legislation, Public Service Regulations, Public Service Act, Labour Relations Act, and the Employment Equity Act.
  • Comprehensive knowledge of PSET (Post-School Education and Training) and TVET/CET college administration.
  • Understanding of the Higher Education sector will be an added advantage.
  • Knowledge of cost center budgetary, expenditure, and cash flow management.
  • A valid driver’s license is required.

  • Suitability Checks: Vetting includes criminal record checks, citizenship verification, qualification/study verification, and previous employment verification.
  • Employment Equity: Appointments will align with the college’s Employment Equity Plan to promote representativity in terms of race, gender, and disability.
  • Travel Expenses: Due to financial constraints, candidates are responsible for their own traveling and accommodation expenses for interviews.
