Key Performance Areas & Duties

The appointed Campus Administrator Officers will perform a broad array of campus administrative, operational, procurement, HR, and academic support functions:

Administrative & Campus Management Support

  • Render comprehensive administrative support services for campus operations.
  • Draw up campus enrollment plans for NC(V), Report 191, and occupational programs.
  • Gather departmental information and compile operational reports for the A-TEAM and Campus Management.
  • Prepare management reports, presentations, and official correspondence.
  • Arrange campus meetings, conferences, workshops, and gatherings, providing secretarial support services to campus leadership.

Human Resource Administration & Coordination

  • Coordinate and submit staff leave forms and PMDS (Performance Management and Development System) documents to the central office.
  • Coordinate documentation regarding disciplinary cases and grievances; follow up and resolve staff HR queries.
  • Maintain comprehensive campus HR records, monitor staff attendance registers, and oversee duty registers/payment documentation for part-time lecturers.
  • Support the rollout and implementation of the college staff wellness program at the campus level.

Procurement & Financial Support Services

  • Recommend purchase requisitions to the Campus Manager and draft procurement memos.
  • Complete requisition forms, receive goods/services, and verify correctness against delivery documentation.
  • Coordinate and submit invoices to the Central Office for payment processing and follow up on pending campus requisitions.

Student Administration, Registrations & Examinations

  • Assist in and coordinate the student registration process for TVET academic programs.
  • Process details of program applications, credit exemptions, capture/reconcile student data, and address data exceptions.
  • Store student Portfolios of Evidence (PoEs), scan documents, and manage physical/digital student records.
  • Coordinate administrative workflows for term and final examination processes.

Records Management & QMS Compliance

  • Maintain proper filing systems and employee files according to Quality Management System (QMS) standards and the National Archives Act.
  • Keep precise records of incoming and outgoing postage received from the central office and manage distribution registers.

Minimum Requirements & Competencies

Qualifications & Education

  • Grade 12 / Senior Certificate.
  • Recognized Degree / Diploma (NQF Level 6) as recognized by SAQA in:
    • Public Administration
    • Office Management and Technology
    • Public Management
    • Or an equivalent relevant qualification.

Work Experience & Technical Knowledge

  • Minimum of one (1) year work experience in an administrative environment.
  • Solid knowledge of office administration principles, Public Service legislation, and policies.
  • Knowledge and understanding of TVET/CET administration and the Higher Education sector.
  • Understanding of cost center budgetary, expenditure, and cash flow management.
  • Familiarity with the Public Finance Management Act (PFMA), Employment Equity Act, Public Service Regulations, Public Service Act, and Batho Pele Principles.
