What Does a Personal Assistant: Internal Audit Do at DEE?
Personal Assistants in the Internal Audit directorate provide comprehensive secretarial, administrative, and logistical support to the Director. In this role, you will manage the flow of official documents, take minutes, draft correspondence, coordinate meetings and travel arrangements, assist with budget administration, and manage the unit’s leave register — all while maintaining the highest standards of discretion, professionalism, and efficiency in a government head office environment.
This is a senior administrative support role that requires a relevant diploma at NQF Level 6, at least 1 year of post-qualification experience, strong computer literacy, and the ability to communicate effectively with people at all levels of the organisation.
Key Responsibilities of a Personal Assistant: Internal Audit
Secretarial & Receptionist Support
- Provide comprehensive secretariat and receptionist support to the Director of Internal Audit.
- Handle incoming calls with good telephone etiquette and route queries to the appropriate person or office.
- Receive and assist visitors to the Director’s office professionally and courteously.
- Act as the first point of contact for the Director’s office, maintaining a professional and welcoming environment at all times.
Document Management & Administrative Support
- Render effective administrative support services and ensure the efficient flow of documents in and out of the Director’s office.
- Draft official documents, correspondence, and reports as required by the Director.
- File all documents accurately and maintain an organised, accessible document management system.
- Receive, register, route, and track all correspondence and ensure timely delivery to relevant parties.
Minutes Taking & Briefing Notes
- Take accurate and comprehensive minutes at the Director’s meetings and distribute them timeously.
- Prepare well-structured briefing notes for the Director in advance of meetings, engagements, and official functions.
- Ensure the Director is fully prepared and informed for all scheduled meetings and appointments.
Meeting & Travel Coordination
- Coordinate all logistical arrangements for meetings, including venue bookings, equipment, catering, and attendance confirmations.
- Arrange flights, accommodation, and transport for the Director and official delegations.
- Manage the Director’s diary and ensure all appointments, meetings, and travel are correctly scheduled and confirmed.
- Remind the Director of upcoming commitments and ensure all required documentation is prepared in advance.
Budget Administration
- Assist managers in determining funding requirements for the Internal Audit unit.
- Keep accurate and up-to-date records of unit expenditure and financial transactions.
- Check and correlate BAS (Basic Accounting System) reports to ensure financial accuracy and compliance.
- Support the Director in monitoring budget utilisation against approved allocations throughout the financial year.
Leave Register Management
- Manage and maintain the leave register for the Internal Audit unit accurately and in accordance with departmental HR policies.
- Process leave applications, track leave balances, and ensure all leave records are correctly updated and filed.
- Liaise with HR on leave-related queries and escalate discrepancies or concerns to the Director as required.
Research & Document Analysis
- Conduct research and analyse documents and situations as required to support the Director’s decision-making.
- Compile summaries, reports, and briefing materials from research findings in a clear, concise format.
- Apply analytical thinking to identify issues, inconsistencies, or priorities within documentation and correspondence.

Educational Qualifications:
- Appropriate Diploma in Office Administration, Office Management and Technology, or Public Administration at NQF Level 6 — registered and recognised by SAQA — essential
Experience:
- Minimum 1 year of post-qualification experience in an administrative or secretarial role — essential
Knowledge Requirements:
- Knowledge of relevant legislation, policies, prescripts, and procedures applicable to the public service
- Basic knowledge of financial administration and budget processes
- Familiarity with BAS (Basic Accounting System) or equivalent government financial systems (advantageous)
Skills & Competencies:
- Strong language skills and ability to communicate effectively with people at different levels and from different backgrounds
