Frequently Asked Questions – Office Administrator Government Jobs Eastern Cape 2026

What is a secretariat service and what does rendering it involve on a daily basis? A secretariat service is the formal administrative support function for a committee, directorate, or senior official’s meetings and correspondence. Rendering secretariat services for the Chief Directorate involves preparing meeting agendas in advance, attending meetings to take accurate minutes, distributing draft minutes to attendees for confirmation, tracking action items arising from meetings, and following up with responsible parties to ensure actions are completed before the next meeting. It requires strong writing skills, attention to detail, and the ability to capture complex discussion points accurately in a professional format.

What does diary management for a Chief Director involve? Diary management for a senior government official such as a Chief Director involves scheduling all meetings, appointments, site visits, and engagements in the Chief Director’s calendar — prioritising according to urgency and strategic importance, avoiding scheduling conflicts, sending meeting invitations and reminders, preparing briefing notes or agenda documents before meetings, and rescheduling or cancelling engagements when priorities change. It requires strong organisational skills, professional communication, and the ability to manage a busy, constantly changing schedule on behalf of a senior executive.

What is the difference between an NQF Level 6 Diploma and an NQF Level 7 Degree for this post? Both an NQF Level 6 qualification (typically a 3-year National Diploma from a TVET college or university of technology) and an NQF Level 7 qualification (typically a 3-year Bachelor’s Degree from a traditional university) are accepted for this post — either qualifies you to apply. The NQF Level 7 degree is a higher qualification level but does not give you preference over an NQF Level 6 diploma holder if both candidates meet the experience requirement. What matters is that your qualification is in one of the listed fields and is recognised by SAQA.

What does budget monitoring support involve in this role? The Office Administrator does not manage the Chief Directorate’s budget independently — that responsibility lies with the Chief Director and Finance staff. The monitoring and maintenance support role means tracking the budget register, flagging expenditure that is approaching its allocation limit, ensuring that purchase requests are processed in line with the available budget, maintaining records of all expenditure items, and preparing budget status summaries for the Chief Director’s review. It is a tracking and reporting function rather than an authorising one.

Does “track and monitor project tasks” mean I need project management qualifications? No — project management qualifications are not listed as a requirement for this post. The project tracking and monitoring duty means maintaining a register of tasks and deliverables assigned within the Chief Directorate, following up with responsible staff members on progress, and reporting status updates to the Chief Director. It requires organisational skills and attention to deadlines rather than formal project management certification. Project management is listed as a skill — meaning the ability to apply basic project management principles to organise and track work — not a formal qualification requirement.

How is this Eastern Cape post different from the Cape Town Management Support posts? The Cape Town Management Support Services posts (HR4/4/10/657 and HR4/4/10/676) are based at Labour Centre and Provincial Office level respectively and cover operational SCM, Finance, HR, and Fleet functions. This Eastern Cape Office Administrator post (HR 4/4/1/105) is specifically a Chief Directorate executive support role — focused on diary management, secretariat services, project tracking, and executive coordination for a Chief Director. It is a more senior-facing, office-of-the-executive role rather than an operational management support function.
