What Does a Campus Administrator Do at Maluti TVET College?

Campus Administrators are the operational backbone of a TVET college campus. In this role, you will provide comprehensive administrative support across four core functions: general campus administration and secretarial support, human resource administration, procurement and supply chain services, and student registration and examination coordination. You will work closely with the Campus Manager and report to the central corporate office in Bethlehem.

This is a senior, multi-functional administrative role that requires a relevant National Diploma at NQF Level 6, 2–3 years of relevant experience, and a thorough understanding of TVET/CET administration, public service legislation, and higher education governance frameworks.


Key Responsibilities of a Campus Administrator

Administrative Support & Campus Management

  • Render comprehensive administrative support services to the Campus Manager and campus management team.
  • Draw up a campus enrolment plan for both NCV (National Certificate Vocational) and Report 191 programmes.
  • Gather departmental information and compile reports for A-TEAM and Campus Management.
  • Prepare reports, presentations, correspondence, and other official documents as required.
  • Arrange meetings, conferences, workshops, and other gatherings on behalf of campus management.
  • Provide secretarial support services to campus management including diary management and correspondence.
  • Maintain a proper filing system in accordance with QMS requirements and the National Archives Act.
  • Keep records of postage received from the central office and ensure correct distribution is done by the relevant official.

Human Resource Administration

  • Administer and coordinate human resource services on behalf of the campus.
  • Coordinate leave forms and submit them to the central office timeously.
  • Coordinate PMDS (Performance Management and Development System) documents and submit to central office.
  • Coordinate all relevant documentation pertaining to disciplinary cases and grievances.
  • Follow up and resolve all HR administration queries and issues emanating from campus staff.
  • Maintain accurate human resource records for all campus staff.
  • Monitor the staff attendance register and report irregularities to the Campus Manager.
  • Coordinate the compilation of duty registers and arrange payment for part-time lecturers.
  • Support the implementation of the college staff wellness programme at campus level.

Procurement & Supply Chain Services

  • Recommend purchase requisitions to the Campus Manager for approval.
  • Draft procurement memos and complete requisition forms in accordance with supply chain procedures.
  • Receive goods and services delivered to the campus and verify their correctness against the appropriate documentation.
  • Coordinate and submit invoices to the central office for processing within the required timelines.
  • Follow up on outstanding campus requisitions and escalate unresolved matters to the Campus Manager.
  • Ensure all procurement activities comply with relevant public sector supply chain legislation and college policies.

Student Registration & Examination Administration

  • Assist in the registration of students for NCV and Report 191 programmes.
  • Coordinate the full student registration process including capturing, verifying, and reconciling student information.
  • Store student portfolios of evidence and student records securely and in accordance with college policy.
  • Scan and file student documents in the required format and system.
  • Ensure data exceptions and corrections are processed accurately and timeously.
  • Process the details of applications for programmes and credits.
  • Coordinate the examination process in accordance with DHET and college examination management requirements.

Minimum Requirements – Campus Administrator

To be considered for this Campus Administrator position, applicants must meet the following requirements:

Educational Qualifications:

  • National Senior Certificate / Grade 12 / Standard 10 or NCV Level 4 — essential
  • Recognised National Diploma (NQF Level 6) in Office Management and Technology, Public Management, or equivalent — essential

Experience:

  • 2–3 years of relevant experience in an administration environment — essential

Knowledge Requirements:

  • Knowledge of office administration principles and practices
  • Knowledge of Public Service legislation and policies
  • Knowledge of the Post-School Education and Training (PSET) sector
  • Knowledge and understanding of TVET and CET administration
  • Understanding of the Higher Education sector and corporate governance
  • Understanding of cost centre budgeting, expenditure management, and cash flow management
  • Employment Equity Act, Public Service Regulations, Public Service Act, Labour Relations Act, and related legislation

Legal Requirements:

  • Valid South African ID Document
  • Candidates will be subjected to a personnel suitability check including criminal record, citizenship, credit record, qualification verification, and employment verification

Advantageous (Not Essential):

  • Prior experience in a TVET or Higher Education institution
  • Familiarity with A-TEAM, PMDS, and NCV/Report 191 administration systems
  • Experience coordinating student registration or examination processes
