Within Tsebo Cleaning and Hygiene Solutions, the Bookkeeper plays a critical role in maintaining the financial integrity of the business unit. You will be responsible for a broad range of bookkeeping and financial administration functions — from daily debtor collections and supplier invoice management to monthly forecasting, variance reporting, and budget support. The ideal candidate will have 1 to 3 years of bookkeeping or accounting experience, a National Diploma in Accounting or Finance, and strong proficiency in Microsoft Excel. Experience with Microsoft Dynamics 365 (D365) is preferred and will significantly strengthen your application. Key Responsibilities
📋 Procurement & Purchase Order Management
- Ensure the timeous update of order sheets in line with divisional procurement schedules and deadlines.
- Track all monthly purchase orders (POs) and quotes received, maintaining an accurate and current record of all procurement activity.
- Ensure compliance with approved capital expenditure (capex) procedures for all relevant purchases and requisitions.
- Support the weekly submission of EFT requisitions, ensuring all payments are correctly captured, authorised, and processed on time.
- Compile weekly vendor imports accurately and submit within the required timeframes.
💳 Debtors & Creditors Management
- Perform daily debtors collection activities, following up on outstanding accounts in a professional and effective manner.
- Ensure the accurate allocation of all receipts to the correct debtor accounts without delay.
- Review monthly statements with major suppliers, resolving discrepancies and ensuring account balances are correctly reconciled.
- Monitor that all costs are captured in their respective months, ensuring no supplier invoices remain unrecorded at month end.
- Maintain up-to-date customer and supplier checklists, ensuring all master data records are accurate and complete.
📊 Financial Reporting & Forecasting
- Prepare and submit accurate monthly forecasts of unit financial results, ensuring projections are based on reliable data and sound assumptions.
- Compile variance reports comparing forecast to actual results, providing clear and concise explanations for all material differences.
- Sign off monthly finances within set deadlines, ensuring all figures are reviewed, approved, and ready for consolidation.
- Assist in the budget process as directed by the Finance Manager, contributing relevant divisional data and supporting schedules.
- Communicate complex financial data clearly and accessibly to non-financial stakeholders when required.

- Ensure compliance with all monthly financial deadlines, managing workload proactively to avoid last-minute pressure.
- Maintain monthly filing systems and source documents in a manner that supports audit readiness and management review at all times.
- Ensure all bookkeeping activities are carried out in accordance with Tsebo’s internal financial policies and control frameworks.
- Support compliance with applicable accounting standards and regulatory requirements relevant to the division’s operations.
- Apply payroll accounting knowledge where required to support divisional finance administration.
🤝 Stakeholder Communication & Customer Service
- Maintain professional and productive relationships with internal stakeholders, suppliers, and clients across all financial interactions.
- Communicate financial information, query resolutions, and reporting outcomes clearly and professionally in both written and verbal formats.
- Deliver a high standard of internal customer service to operational teams requiring financial information or support.

Minimum Requirements
Educational Qualifications
- Grade 12 / Matric — minimum requirement.
- National Diploma in Accounting or Finance — required.
- Any additional qualification in bookkeeping, financial management, or a related field is advantageous.
Experience
- 1 to 3 years’ experience in a bookkeeping or accounting role — essential.
- Prior experience within a large corporate, group finance, or services environment will be advantageous.
- Demonstrated experience in debtors management, creditors processing, monthly reporting, and financial reconciliations.
Technical Skills
- Strong Microsoft Excel skills — essential; including the ability to work with complex spreadsheets, formulae, and financial data.
