About the Role
The Senior Administration Officer: Travel & Subsistence is a critical position within the Supply Chain Management function at the Department of Public Works Head Office. In this role, you will support the administration and smooth functioning of the S&T unit, receiving, recording, and verifying advances and claims for both domestic and international trips, preparing monthly, quarterly, and annual financial inputs, and ensuring that the suspense account is cleared within 30 days. You will produce management reports, coordinate internal training sessions, steer the logistics response process, and provide analysis of audit queries and management responses.
This is a senior administrative role that demands a thorough knowledge of the National Treasury Travel Guideline, DPSA-related legislation, the Public Finance Management Act (PFMA), and Treasury Regulations. You will be expected to manage confidential information with discretion, exercise sound decision-making, and provide reliable general administrative support to Regional Offices across the Department.

Key Responsibilities of a Senior Administration Officer: Travel & Subsistence
S&T Unit Administration & Claims Processing
- Support the administration and smooth functioning of the S&T unit and all related processes and systems.
- Receive, record, and verify advances and claims from officials for domestic and international trips.
- Capture and maintain registers relating to all S&T transactions and activities.
- Administer submissions for approval in line with applicable policies and delegations.
Financial Reporting & Expenditure Management
- Prepare monthly, quarterly, and annual financial inputs relating to travel and subsistence.
- Prepare the monthly S&T expenditure report for management use.
- Ensure that the suspense account is cleared within 30 days in line with Treasury requirements.
- Assist with the preparation of monthly, quarterly, and annual financial inputs across the SCM function.
Data Management, Reporting & Statistics
- Coordinate and collate weekly and monthly statistics on S&T transactions and activities.
- Collate data and prepare reports and presentations for management use.
- Provide documents and information to officials as and when required.
- Draft circulars for approval and ensure accurate record-keeping throughout.
Audit, Training & Logistics Coordination
- Steer the logistics response process and provide analysis of audit queries and management responses.
- Coordinate internal training sessions relating to S&T processes and compliance requirements.
- Provide general administrative support to Regional Offices as required.
- Perform any other assigned duties in relation to the implementation of Supply Chain Management processes.
HR Resource Management & Supervisory Support
- Manage HR resources within the S&T unit, including supervision and performance oversight.
- Support the development and coordination of the team in line with departmental requirements.
- Provide guidance to junior staff on S&T processes, systems, and compliance obligations.
- Ensure the unit operates efficiently, accurately, and in full compliance with applicable legislation.
Minimum Requirements – Senior Administration Officer: Travel & Subsistence
Educational Qualifications:
- A minimum three-year tertiary qualification (NQF Level 06) / National Diploma in Supply Chain Management or a related qualification (essential)
Experience:
- Relevant years of experience in Travel & Subsistence (S&T) administration (essential)
- Supervisory experience (advantageous)
Knowledge Requirements:
- Knowledge of the National Treasury Travel Guideline
- Knowledge of DPSA-related legislation
- Knowledge of the Public Finance Management Act (PFMA)
