Purpose of the Role — Learning & Development Coordinator

The Learning and Development Coordinator is actively involved in the planning, design, coordination, and execution of a large volume of learning activities across RCL Foods — scheduling employees on training programmes, communicating requirements to employees and training providers, managing learning management and e-learning systems, ensuring SETA compliance and grant claiming, supporting B-BBEE and ISO audit processes, and maintaining accurate learning records and budget tracking across multiple business units.

Learning Coordination

  • Provide coordination support to staff and managers in the planning and delivery of a high volume of learning and development events — including Senior Management programmes

  • Control training documentation — ensuring attendance registers and invoices are prepared and captured into the HR Management system accurately

Learning Programme Design & Scheduling

Digital Learning & E-Learning Platform Management

  • Quality-assure detailed L&D data and information sheets for audit purposes — covering B-BBEE, ISO, SARS, SETA, Sustainability, and Management reporting
  • Participate in ISO, B-BBEE, and supplier audits — and ensure audit recommendations are actioned within agreed timeframes

HR Manage System Administration

  • Maintain day-to-day control of the HR Manage system — coordinating and scheduling regular updates for the L&D team
  • Coordinate training for L&D team members on new users and system upgrades with Personnel Resolution
  • Ensure correct governance and business rule compliance within the HR Manage system
  • Implement regular record audits and system maintenance
  • Upload and maintain learning interventions and service provider information for all business units in accordance with naming convention rules
  • Manage all HR Manage system queries and provide timeous feedback to users

Budget Control

  • Capture and track all budget activities in support of Learning Specialists and the Learning Manager
  • Prepare budget reports for respective cost centres and respond to budget-related enquiries
  • Analyse budgets to maintain expenditure control — regularly monitoring and updating the budget tracker and collating monthly SAP reports
  • Assist the Learning Specialist to plan quarterly forecasts
  • Provide regular budget expenditure updates to the L&D Manager
  • Participate in budget discussions with the Finance team

SDF Support — SETA Compliance & Reporting

  • Perform the support-to-SDF role for respective RCL Foods business units
  • Assist the SDF to draw and collate data to compile and prepare the annual mandatory WSP (Workplace Skills Plan) and ATR (Annual Training Report) for SETA submission
  • Methodically complete DG (Discretionary Grant) applications with the SDF during SETA window periods
  • Advise the L&D team on SETA quality assurance requirements
  • Support the SDF with capturing, uploading, and submitting information directly to the SETA’s Electronic Management System
  • Monitor, track, and claim all discretionary and mandatory grants from AgriSETA / FoodBevSETA for respective project codes
  • Work with Finance to produce invoices for pivotal tranche claims and track SETA payment schedules

Stakeholder Relationships

  • Coordinate supplier and service provider relationships within the Learning team
  • Interact with internal clients and staff to influence course attendance, user adoption, completion rates, and active e-learning engagement in relation to licence allocation numbers
  • Maintain relationships with senior SETA staff members to influence the timely payment of discretionary SETA grants

Legislative & Management Reporting

  • Accurately coordinate and manage complex information required for the annual SARS audit for Learnership Tax Rebates
  • Assemble SETA information and assist in producing statutory reports in terms of the Skills Development Act and the Skills Development Levies Act
  • Compile and collate B-BBEE data schedules and produce reports for the B-BBEE Verification audit
  • Support data collection, analysis, and collation for monthly management reporting
  • Track and compile statistical reports on all pivotal and feeder scheme projects for Annual Sustainability reporting
