Purpose of the Role — Receipting Clerk FTC
The Receipting Clerk FTC executes the compliant and timely goods receipting of all RCL Foods National Office non-stock items and services on the SAP ERP system — verifying purchase orders, checking deliveries against POs, capturing goods receipts, processing service entry sheets, managing delivery documentation, and supporting the broader Transactional Procurement and Creditors functions in meeting month-end and payment deadlines.

Daily Operational Execution
- Receipt non-stock items and service items in a compliant and timely manner in line with RCL Foods’ procurement policies and company standards
- Ensure compliance with established procedures and company levels of authority at all times
- Maintain a high standard of housekeeping across all receipting documentation and filing
Non-Stock Items Receipting
- Verify that a valid Purchase Order (PO) exists in the SAP ERP system for every delivery being received — stock may only be receipted against an authorised PO
- Once the PO is identified, check the supplier delivery note against the physical delivery for item correctness, quantity, and visual quality
- Return stock to the vendor via a goods returned advice if no PO exists on the system
- Sign and retain the supplier delivery note once delivery is confirmed correct; return a copy to the supplier and submit the approved copy to the Creditors Department
- Capture the goods receipt on the SAP ERP system against the PO — including the delivery note number on the goods receipt entry
- File all delivery documents from suppliers accurately and completely
Services Receipting
- Ensure that service invoices and job cards (where applicable) are signed by the End User or Cost Centre Owner as evidence that the service has been performed
- Submit signed invoices and job cards to Operational Procurement for receipting
- Capture the service receipt on the SAP ERP system
- Create a service entry sheet on the SAP ERP system after completing all receipting steps
- Submit original service invoices to the Creditors Department for payment after goods receipt capture is completed
ERP Processing — SAP
- Create and capture goods receipts on the SAP ERP system against authorised purchase orders
- Ensure delivery note numbers are included on all goods receipt entries
- Maintain accurate, complete filing of all supplier delivery documents
KPI Compliance
- Ensure full compliance with receipting policies, procedures, and company levels of authority
- Maintain accuracy of all documentation and data captured on SAP
- Receipt all invoices and delivery notes against an authorised PO within 24 hours of receiving an approved workflow, delivery note, or invoice — and within month-end deadlines
- Expedite purchase orders timeously — no open purchase orders after the delivery date on SAP or BI Cube
- Resolve all finance and buying team queries within 48 hours
