What Does a Government Administration Clerk Do?

Administration Clerks are essential to the smooth running of government offices and court administration. In this role, you will be responsible for providing clerical, supply chain, personnel, and financial administration support within the component — ensuring that all administrative functions are carried out accurately, efficiently, and in line with departmental policies.

Key Responsibilities of an Administration Clerk

Clerical Support Services

  • Render clerical support services to the office component as directed.
  • Manage incoming and outgoing correspondence, mail, and documentation.
  • Capture, update, and maintain accurate data and records on relevant systems.
  • Provide general office administration support to supervisors and colleagues.

Supply Chain Clerical Support

  • Provide supply chain clerical support services within the component.
  • Assist with procurement processes, ordering of office supplies, and stock management.
  • Maintain accurate records of supply chain transactions and documentation.
  • Ensure compliance with departmental supply chain management procedures.

Personnel Administration Support

  • Provide personnel administration support within the component.
  • Assist with HR-related administrative functions including leave records and staff documentation.
  • Maintain accurate and confidential personnel files and records.
  • Support the component with any HR administration tasks as required.

Financial Administration Support

  • Provide financial administration support services within the component.
  • Assist with budget-related documentation, invoices, and financial record keeping.
  • Capture financial transactions accurately and maintain supporting documentation.
  • Ensure compliance with departmental financial management procedures.

Document Management & Filing

  • Manage, organise, and maintain accurate filing systems — both physical and electronic.
  • Retrieve documents and files on request from supervisors and court officials.
  • Ensure documents are stored securely and in accordance with departmental policies.
  • Manage records in line with applicable legislation and document retention requirements.

Various Administrative Duties

  • Provide various administrative duties as directed by the supervisor.
  • Assist with reception, switchboard, and front-of-office customer service functions.
  • Handle queries from members of the public professionally and timeously.
  • Support the broader office team with any ad hoc administrative requirements.

Minimum Requirements – Administration Clerk
