The Workshop Administrator is responsible for the effective administration, coordination, and documentation of operational and workshop activities — serving as a key communication and coordination link between operational teams, workshop personnel, stores, suppliers, and management.
Through accurate record-keeping, scheduling, reporting, and compliance support, the Workshop Administrator contributes directly to improved equipment availability, reduced downtime, and operational efficiency across the site.
Key Responsibilities of a Workshop Administrator
Operations & Workshop Coordination
- Schedule and coordinate maintenance, servicing, and repair activities for vehicles, machinery, and operational equipment including mining and earthmoving equipment, plant, tools, forklifts, and mobile equipment.
- Track operational and workshop workloads to ensure tasks are prioritised and completed within required timelines.
- Prepare and maintain daily, weekly, and monthly work schedules for technicians, artisans, operators, and contractors.
- Maintain accurate records of all maintenance, servicing, inspections, and repair work completed on site.
Documentation & Reporting
- Maintain electronic and physical records of operational activities, equipment history, maintenance logs, and parts usage.
- Compile and submit routine and ad hoc reports on equipment availability, breakdowns, downtime, and maintenance or operating costs.
- Support audits, compliance inspections, and internal or external reporting requirements.
- Track service agreements, warranty claims, licences, permits, and equipment certifications.
Inventory, Stores & Resource Support
- Liaise with stores, procurement, and supply chain personnel to ensure timely availability of spare parts, consumables, tools, and materials.
- Monitor stock levels and flag critical shortages, delays, or discrepancies to management promptly.
- Assist in maintaining an organised and well-documented stores and operational support environment.
Communication & Operational Support
- Act as a liaison between operations, workshop teams, field staff, logistics, and management.
- Communicate work schedules, equipment status, delays, and operational constraints clearly and timeously.
- Support training coordination, induction processes, toolbox talks, and safety briefings.
- Coordinate with external service providers, suppliers, and contractors as required.
Safety, Health, Environmental & Compliance Support
- Ensure all administrative and coordination processes align with applicable health, safety, environmental, and operational regulations.
- Maintain records related to PPE issuance, inspections, certifications, and statutory requirements.
- Support safety initiatives by coordinating compliance reminders, audits, and reporting activities across the site.
Minimum Requirements – Workshop Administrator
Educational Qualifications:
- Grade 12 (required)
- Certificate or diploma in administration, office management, logistics, or workshop coordination (advantageous)
Experience:
- 2 to 4 years’ experience in administrative, coordination, or operations support roles
- Exposure to logistics, freight, agriculture, mining, construction, fleet, or heavy equipment operations preferred
- Experience supporting scheduling, documentation, reporting, and compliance processes advantageous
Technical Skills:
- Computer literacy in Microsoft Office
- Ability to use inventory or workshop management systems
- Ability to track work progress, generate reports, and identify operational bottlenecks
