WHAT DOES A SECRETARY DO?
A Secretary within the Department of Defence provides critical administrative and organisational support to a Manager or Unit. This includes managing diaries, arranging meetings, handling correspondence, preparing documents, and ensuring smooth day-to-day office operations.

KEY RESPONSIBILITIES
Administrative & Diary Management
- Manage the Manager’s diary, appointments, and schedules
- Record appointments, events, and meetings
- Keep updated directories and contact lists
- Monitor leave registers and office communication systems
Communication & Correspondence
- Receive and direct telephone calls to relevant role players
- Draft and type letters, reports, and memorandums
- Handle classified documents with confidentiality
- Maintain professional written and verbal communication
Meeting Coordination
- Compile agendas and distribute meeting documents
- Take accurate minutes during meetings
- Record decisions and follow up on action points
- Organise board meetings and internal events
Travel & Logistics Support
- Arrange travel and subsistence claims (S&T)
- Coordinate travel bookings with agencies
- Organise meeting venues, refreshments, and logistics
- Support visits and official functions
Office Administration
- Maintain filing systems and document control
- Order and manage stationery and office supplies
- Operate office equipment and systems
