Position Overview

The company is seeking a Remote Part-time Administrator to support daily operations, client coordination, and marketing initiatives. This role is ideal for a candidate with experience in medical or clinical administration, strong digital skills, and the ability to work independently while maintaining confidentiality.

The successful candidate will assist in diary management, client bookings, invoicing, and improving administrative processes to ensure smooth and efficient practice operations.


Key Responsibilities

1. Administrative Support & Office Coordination

  • Manage the psychologist’s diary and coordinate client appointments efficiently.

  • Handle email correspondence, bookings, and general office communications.

  • Send invoices and maintain accurate administrative records.

  • Refine and optimise existing administrative systems for efficiency.

2. Marketing & Digital Assistance

  • Assist with light marketing tasks and digital media updates.

  • Support occasional event coordination and outreach initiatives.

  • Use Mailchimp and other digital tools for communications and campaigns (if applicable).

3. Client Service & Communication

  • Maintain professional communication with clients and colleagues.

  • Ensure high levels of discretion, confidentiality, and sensitivity in all interactions.

  • Serve as the primary remote point of contact for administrative and scheduling queries.


Minimum Requirements

  • Prior experience in a medical or clinical setting, such as doctor’s offices or practice management.

  • Tech-savvy with proficiency in digital tools, booking systems, and email management.

  • Strong attention to detail and critical thinking skills.

  • Excellent written and verbal communication abilities.

  • Ability to manage diary and calendar bookings accurately.

  • Capable of sending invoices and handling routine administrative tasks.
