Purpose of the Role
The Receptionist provides client-centric reception services to the Nedbank Cape Town business — supporting the achievement of business objectives through professional visitor management, conference centre coordination, facilities administration, mail management, and operational insight reporting. Key Responsibilities – Receptionist
Reception & Client Service Delivery
- Maintain a pleasant, professional, and welcoming reception environment throughout all operating hours.

- Assist clients and staff with meeting room and desk access, copying, emailing, calls, stationery, directions, and general support needs.

- Coordinate smooth meeting operations including boardroom bookings, catering arrangements, and room setup and preparation.
- Communicate client setup requirements to catering, cleaning, security, and maintenance teams — ensuring all service providers are briefed and prepared.
- Provide on-site assistance for functions, meetings, and events across Ground, 5th, and 6th Floor facilities.
- Support business unit and client functions planning and execution.
- Serve as the reliever for Ground Floor reception during leave, sick days, and lunch cover periods.
- Ensure daily preventative maintenance is carried out by engaging with the Maintenance team proactively.
Facilities Administration & Technical Support
- Log all maintenance calls — including Planned Preventative Maintenance (PPM) for the conference centre.
- Conduct or follow up on monthly building fabric inspections and condition assessments for the Conference Centre, 5th Floor, Auditorium, and Foyer.
- Collaborate with the Facilities Management team on additional administrative tasks as required.
- Complete monthly statistics and reporting requirements accurately and on schedule.
- Perform ad hoc administrative duties for Facilities, clients, and internal teams.
Soft Services & Service Provider Performance
- Provide operational insight into the service delivery performance of soft services providers — including Feedem (catering), Supercare (cleaning), and other vendors.
- Engage proactively with the internal mailroom (DSV) on courier, mail, and delivery coordination — ensuring timeous and accurate service.
Mail Management & Deliveries
- Facilitate mail delivery by receiving, sorting, and distributing all incoming mail and deliveries.
- Contact staff for delivery collection and ensure all documents and deliveries reach the correct teams and individuals promptly.
Trending Analysis & Operational Insights
- Conduct trending analyses relating to meeting room booking patterns, conference centre usage, maintenance call trends, and soft services performance.
- Provide operational insights that support enhanced planning and improved client service experience across the Nedbank Cape Town facility.
Cost Controls & Resource Management
- Perform weekly stock checks of conference items across the 5th Floor, Auditorium, and Foyer.
- Ensure prudent use of resources and the prevention of unnecessary expenditure.
- Support accurate budgeting for reception and conference centre operations.
Data Accuracy, Auditability & Compliance
- Ensure all data captured and processed is accurate, reliable, and maintains full auditability.

Minimum Requirements – Receptionist
Educational Qualifications
