Job Summary

The Receptionist serves as the brand ambassador for Hyundai. Your primary mission is to create a welcoming and professional atmosphere for every visitor, whether they are arriving for a vehicle service, a new car consultation, or a corporate meeting. You will manage the front desk ecosystem, ensuring that all communication—both in-person and telephonic—is handled with the efficiency and courtesy that Motus is known for. This role is central to the smooth operation of the dealership, supporting various departments through meticulous administrative assistance.

Key Performance Areas & Responsibilities

1. Front Desk & Visitor Management

  • First Impressions: Greet and welcome visitors with a friendly, professional demeanor, ensuring they are directed to the correct department (Sales, Service, or Parts) immediately.

  • Switchboard Operations: Manage the multi-line telephone system, answering and directing calls in a timely and courteous manner to minimize wait times.

  • Area Maintenance: Maintain the reception and showroom waiting areas, ensuring they are neat, organized, and reflect the premium Hyundai brand image.

2. Administrative & Logistics Support

  • Mail & Couriers: Efficiently handle all incoming and outgoing mail, packages, and internal dealership documentation.

  • Calendar Management: Coordinate and schedule appointments, maintaining accurate digital calendars for the management team or service advisors.

  • Data & Filing: Assist with core administrative tasks, including accurate data entry into dealership systems, filing of sensitive vehicle documents, and high-volume photocopying.

3. Team Collaboration

  • Staff Support: Provide general administrative support to the sales and service teams during peak periods to ensure a seamless customer journey.

  • Information Flow: Ensure that messages are taken accurately and relayed to the relevant staff members promptly to maintain high levels of customer satisfaction.

Requirements & Qualifications

To be considered for this professional receptionist role at Hyundai, candidates must meet the following:

  • Education: High school diploma (Matric) or equivalent.

  • Experience: Previous experience in a customer service or front-desk administrative role is highly preferred.

  • IT Literacy: Proficient in the Microsoft Office suite (Word, Excel, and Outlook) and comfortable learning new internal dealership management software.
