Purpose of the Role

The Operations Controller is responsible for auditing inventory and stock control processes, reporting on cost control analyses, and making recommendations to improve operational stock and cost efficiencies across all revenue centres in the hotel. The ultimate objective of this role is to maximise revenue while ensuring full compliance with Sun International’s policies, procedures, and applicable legislative requirements.

This is a technically demanding, detail-oriented role that sits at the intersection of finance, operations, and compliance — requiring both strong analytical capability and the interpersonal skill to engage effectively with chefs, outlet managers, and departmental heads across a large luxury hotel operation.


Key Responsibilities – Operations Controller

Stock Audits & Inventory Control

  • Audit stock and inventory control across all hotel revenue centres, with particular emphasis on stock shortages, shift handover accuracy, and adherence to stock rotation principles including FIFO.
  • Monitor stock movements and create a full audit trail and data accumulation system for the production of daily reports and audit requisitions.
  • Capture all interdepartmental transfers between revenue centres accurately and timeously.
  • Audit the accurate recording of current stock levels, reconciling IFS system data against physical stock on hand.
  • Ensure inventory record keeping correlates 100% with source documentation at all times.
  • Identify discrepancies across outlets and escalate inaccuracies immediately to the relevant manager.
  • Establish count and verification teams from the finance department for every stock take, ensuring all inventory sites are counted at the scheduled times.
  • Maintain stock take schedules, co-ordinate all counting activities, and keep complete records of all stock takes.
  • Capture stock sheets and distribute variance reports to department heads, demanding accountability for all variances.
  • Compute cost reports in the system and review results with emphasis on completeness, accuracy, validity, and cut-off compliance.
  • Balance closing and opening stocks accurately and compute detailed theoretical cost of sales for all revenue centres.
  • Publish cost reports and confirm successful completion of cost of sales reporting procedures within 48 hours of counting.
  • Investigate deviations or cost inefficiencies by engaging with managers to understand root causes of variations.
  • Identify and escalate all non-adherence to internal controls or stock deviations, with proposed explanations and recommendations.
  • Sign off all inventory write-offs on complex by testing the reasonableness and accuracy of each proposed write-off.
  • Develop inventory control models that promote lower cost of sales, shorter lead times, and reduced stock losses.

Stock Control Procedures & Governance

  • Develop, update, and communicate stock control procedures and processes to all operational departments, including safeguarding of stock against damage and loss.
  • Monitor stock control standards, systems, and processes and align practices with new legislative and company requirements as they evolve.
  • Develop templates, checklists, and tools in line with operational requirements to support consistent compliance.
  • Implement sufficient control measures and checks to mitigate business risk and ensure data hygiene across all inventory records.
  • Work with internal stakeholders to identify risk areas and address these proactively, including checking of payment method compliance.
  • Review and report on access controls for stock areas across the complex, verifying key registers and ensuring no unauthorised access.
  • Audit operating functions against operational control procedures across all relevant departments including OE, OS, Food & Beverage, and Housekeeping.
  • Conduct Control Self-Assessments (CSA) as per department procedures and provide immediate feedback on findings.
  • Conduct operational walkabouts and hygiene audits in back-of-house areas to verify adherence to FCS (Food & Customer Safety) standards, gathering evidence and reporting non-conformances to the relevant functional manager.

Cost Management & Revenue Reporting

  • Generate operational, inventory cost, and revenue reports daily across all hotel departments.
  • Check overhead costs across OE and OS categories, ensuring departments are aware of deviations and that corrective action is taken with functional managers.
  • Discuss and implement remedial action with functional managers to ensure budgets and targets are consistently achieved.
  • Capture all new menu recipes and costings in IFS, update existing costings, and liaise with F&B Managers on menu cost compliance.
  • Liaise with F&B on the review of menu costs against selling prices through menu engineering, maintaining standard and budgeted cost of sales percentages.
  • Report daily on the balancing of the menu engineering sales mix, maintaining one-to-one links between PLUs, inventory parts, and manufacturing structures, and resolving any interface errors.
  • Analyse cost and revenue per menu item to identify and flag non-profitable items.
  • Execute buffet costing for all buffet restaurants a minimum of three times per week.
  • Advise management on abnormal trends in consumption promptly.
  • Create and continuously review assortments for every department based on menu ingredients, ensuring no deviation from approved recipes in IFS and in practice.
  • Report on price changes or deviations identified during goods receiving and invoice capturing.

Stock Record Management & Systems Custodianship

  • Act as the custodian of all inventory accounting records, ensuring all source documents are complete, securely stored, and readily retrievable.
  • Accurately update stock records in the system and allocate costs to specific kitchens and outlets with precision.
  • Maintain the integrity of all inventory and stock data in the Micros Symphony database in liaison with Head Office Hospitality Support IT.
  • Audit and update all manual transaction books daily to ensure complete synchronisation with IFS.
  • Manage business continuity plans when IFS and Symphony systems are offline, implementing relevant SOPs immediately to protect revenue and guest experience.
  • Serve as the custodian of IFS supply chain systems and processes in the business unit, managing user rights, access controls, and inventory part mapping.
  • Report any technical system problems immediately to the relevant IT and support stakeholders.
  • Test the integrity of the system regularly for completeness of all transactions, with emphasis on accurate cost apportionment and cut-off compliance.
  • Train and coach new IFS system users to ensure effective and compliant system use across the hotel.
  • Monitor average price movements, investigate part history, and report on abnormal fluctuations.
  • Extract and populate daily issues-to-revenue reports across F&B, OE, and OS per outlet.

People Supervision & Development

  • Supervise team members’ conditions of employment including attendance, absenteeism, leave management, and adherence to policies and procedures.
  • Identify employee training needs and implement on-the-job training and coaching to close developmental gaps.
  • Build succession through a structured talent pipeline within the department.
  • Conduct performance contracting, reviews, and development planning for supervised staff.
  • Assist in providing resources and removing performance obstacles for the team.
  • Facilitate the effective onboarding of all new staff members joining the operations control function.

Client & Stakeholder Engagement

  • Maintain strong, collaborative working relationships with all operational departments across the hotel.

Educational Qualifications
