About the Role
The Operations Administrator at Empact Group Food Solutions plays a critical supporting role across a broad portfolio of operational and administrative functions. You will be directly accountable for financial project tracking, monthly reporting and presentation consolidation, internal communications, database maintenance, diary and travel management, and ad hoc project support — all delivered simultaneously across multiple business units and senior stakeholders. You will work closely with General Managers, Regional Managers, Food Support Partners, and Unit Managers, providing the administrative backbone that keeps food operations running efficiently and accurately. Key Responsibilities of an Operations Administrator
Operational Support to Senior Management
- Provide comprehensive operational administrative support to General Managers, Regional Managers, the Centre of Excellence (COE), and the Sales team across multiple business units.
- Deliver ad hoc support to Food Support Partners and Unit Managers as required by operational priorities.
- Liaise with the PRP representative and facilitate meetings and training sessions with GMs, RMs, and Unit Managers.
- Coordinate social events pertaining to the food business, managing logistics from planning through to execution.
Diary, Meeting & Travel Coordination
- Manage diary coordination for senior stakeholders — arranging and coordinating meetings including participants, venues, and all sundry requirements.
- Prepare and distribute meeting agendas in advance, take accurate minutes during meetings, and circulate them timeously to all relevant parties.
- Complete travel and flight bookings for General Managers and Regional Managers as and when required.
Financial Tracking, Reporting & Presentations
- Assist with the monthly consolidation of financial graphs and preparation of presentation reports for senior leadership review.
- Prepare and compile PowerPoint presentations, ensuring all documents are free of typographical or grammatical errors before distribution.
- Prepare and submit credit card reconciliations for the Food MD and General Managers accurately and on time.
- Maintain the food master data file on a monthly basis by requesting and consolidating Regional Manager updates into the centralised file.
Project Tracking & Database Management
- Manage and assist in tracking all projects for Food Operations, ensuring timelines, milestones, and deliverables are accurately recorded and up to date.
- Maintain the food operations database — including Contracts, QBRs, HSE records, price increases, and other operational reports — ensuring data integrity at all times.
- Control the food asset register, maintaining accurate and current records across all relevant units.
- Conduct unit surveys and collate data, consolidating findings for management reporting and decision-making.
Internal Communications & Records Management
- Collate internal information between units and distribute internal communications to the business as required by management.
- Update company and regional information as directed, ensuring all records reflect the most current and accurate data.
- Update and maintain all operational records and systems, including Microsoft Office, Excel, PowerPoint, MS Outlook, and Publisher, in line with company requirements.
Minimum Requirements – Operations Administrator
Educational Qualifications:
- Matric / National Senior Certificate (minimum requirement — essential)
Experience:
- Proven experience in a project tracking and administrative support role (essential)
- Demonstrable financial background with experience in financial tracking, reconciliations, and reporting (essential)
- Experience providing operational or executive administrative support in a multi-stakeholder environment (essential)
Technical Skills:
- Advanced Microsoft Excel — VLOOKUPs, SUMIFs, pivot tables, graphs, and data consolidation (essential)
- Strong Microsoft PowerPoint skills — ability to compile polished, error-free presentations (essential)
