What Does a Government Office Administrator: Organisational Effectiveness Do?
Office Administrators: Organisational Effectiveness are essential to the smooth and efficient functioning of the Senior Manager’s office within the Unemployment Insurance Fund. In this role, you will be responsible for providing secretariat services, financial administration support, logistical support, and comprehensive administrative support to the Senior Manager — ensuring that all office functions are carried out accurately, professionally, and in full compliance with applicable public service legislation and departmental policies.
This is a multi-functional, senior administrative support role that requires a relevant three-year tertiary qualification, 1 to 2 years’ functional experience in an office administration environment, and sound knowledge of Public Service regulations, financial management, and Batho Pele Principles.
Key Responsibilities of an Office Administrator: Organisational Effectiveness
Secretariat Services
- Provide secretariat services to the office of the Senior Manager.
- Manage the Senior Manager’s diary, schedule appointments, and coordinate meetings.
- Record minutes of meetings and distribute to relevant stakeholders timeously.
- Prepare briefing notes, agendas, and supporting documentation for meetings and engagements.
Financial Administration
- Render financial administration services to the office of the Senior Manager.
- Process invoices, travel and subsistence claims, and other financial transactions as required.
- Ensure all financial administration activities comply with the Public Finance Management Act (PFMA) and departmental financial policies and procedures.
- Maintain accurate financial records and supporting documentation for audit purposes.
Logistical Support
- Provide logistical support services to the office of the Senior Manager.
- Coordinate travel arrangements, venue bookings, and event logistics for the Senior Manager and office.
- Arrange meetings, functions, and official engagements including refreshments and equipment setup.
- Liaise with internal and external stakeholders to ensure all logistical requirements are met timeously.
Administrative Support
- Provide comprehensive administrative support services to the office of the Senior Manager.
- Handle all incoming and outgoing correspondence, filing, and document management.
- Maintain accurate physical and electronic records and filing systems.
- Draft routine correspondence, reports, and other documentation as directed.
- Administer matters such as leave registers, attendance registers, and procurement of standard office items.
