About the Role

The Maintenance Administrator at Tsebo Facilities Solutions supervises and coordinates daily staff housing maintenance operations in Rustenburg, providing technical oversight, work order execution, contractor oversight, and preventative maintenance coordination. You will be directly responsible for managing the Housing Stores inventory—maintaining stock variances strictly below 1%—supervising specialized external contractors, leading routine safety audits, and driving compliance with ISO 9001, ISO 14001, and ISO 45001 standards.

Key Responsibilities of a Maintenance Administrator

Maintenance Operations & Work Order Execution
  • Supervise, assign, and monitor technical maintenance tasks performed by internal teams across electrical systems, plumbing, carpentry, air conditioning, locks, painting, civil works, kitchen equipment, and general building structures.
  • Process, prioritize, and close out maintenance work requests generated through the Helpdesk and PRAGMA Maintenance Management System within agreed SLA timelines.
  • Perform quality inspections on completed technical repairs before sign-off.
  • Escalate critical infrastructure failures immediately to senior management and provide real-time operational updates until full restoration.
  • Participate in standby and call-out rotations as operationally required.
Contractor Supervision & Service Level Management
  • Supervise external specialist contractors on site, ensuring strict adherence to scope of work, safety standards, and contractual SLAs.
  • Verify work quality, site housekeeping, and regulatory compliance prior to approving contractor job cards and invoices.
  • Monitor vendor performance metrics and address service delivery gaps immediately.
Preventative Maintenance & Asset Management
  • Implement, track, and maintain scheduled preventative maintenance (PPM) programmes across all housing assets.
  • Maintain complete equipment registers, asset logs, and service history records within the maintenance system.
  • Ensure all preventative maintenance tasks are executed cost-effectively without compromising quality or safety.
Audits, Quality Control & SHEQ Compliance
  • Lead routine “walk-the-floor” property inspections and technical maintenance audits to identify defects early.
  • Ensure total operational compliance with company Safety, Health, Environment, and Quality (SHEQ) policies and the Occupational Health and Safety Act (OHSA).
  • Adhere strictly to ISO 9001 (Quality), ISO 14001 (Environmental), and ISO 45001 (Occupational Health & Safety) standards.
Stores, Inventory & Material Control
  • Requisition, receive, and issue materials, spare parts, and tools required for daily operational tasks.
  • Maintain total stock control within the Housing Stores, participating in monthly stocktakes and keeping inventory variance strictly below 1%.
  • Enforce strict storekeeping and material reordering procedures to prevent stockouts or project delays.
Team Leadership, Skills Development & Client Relations
  • Guide, supervise, and mentor technical maintenance personnel, fostering a culture of pride in workmanship, accountability, and customer satisfaction.
  • Conduct on-the-job assessments, identify skills gaps, and recommend targeted technical training interventions.
  • Build strong operational relationships with Sun City Housing teams, Site Engineering Managers, and complex management stakeholders through prompt communication and reporting.

Minimum Requirements – Maintenance Administrator

Educational Qualifications
  • Grade 12 / Matric (essential)
  • NTC 3, NTC 4, NTC 5, or recognized Trade Certificate / Technical Qualification in Construction, Electrical, Mechanical, or Building Maintenance (essential)
  • Relevant maintenance-related technical or safety certifications (advantageous)
Experience
  • 3 to 4 years’ experience in a technical maintenance or facilities management role (essential)
  • Proven track record supervising technical support teams and tradespeople (essential)
