Purpose of the Job
The Dispatch Supervisor is responsible for overseeing and coordinating all outbound logistics and dispatch operations within a warehouse or distribution centre. The role ensures that goods are accurately picked, securely loaded, and dispatched on time according to customer and operational requirements.
This position plays a key role in maintaining service excellence, operational efficiency, compliance, and delivery accuracy.
Key Responsibilities of a Dispatch Supervisor
Dispatch Planning & Process Control
- Ensure all dispatch SOPs are understood and followed
- Plan daily outbound dispatch schedules and ensure deadlines are met
- Coordinate picking activities to align with dispatch requirements
- Allocate staff resources based on workload and volume
- Confirm availability of materials, vehicles, and equipment
- Ensure correct loading and securement of goods before departure
- Maintain Work in Progress (WIP) reports daily
Systems & Documentation Management
- Use WMS and other business systems to manage dispatch processes
- Maintain accurate dispatch documentation and filing systems
- Investigate and resolve discrepancies (stock, vehicles, seals, paperwork)
- Ensure all dispatch reports are monitored and actioned
- Analyse dispatch data and implement improvements
Staff Supervision & Resource Management
- Lead and supervise dispatch team performance
- Manage staff allocation and daily operational efficiency
- Monitor overtime and ensure it is controlled and justified
- Ensure staff are trained and compliant with procedures
- Maintain discipline and productivity in the dispatch area
Quality, KPI & Compliance Management
- Track and report dispatch KPIs monthly
- Ensure compliance with Quality Management Systems (QMS)
- Drive continuous improvement initiatives
- Manage NCRs, NCPs, and IOs with timely resolution (within 5 days)
- Ensure Occupational Health and Safety compliance at all times
- Maintain a clean, organised, and safe dispatch environment
Asset, Security & Equipment Control
- Ensure security of stock, vehicles, and dispatch assets
- Manage and track material handling equipment (MHE) usage
- Ensure equipment is used correctly and maintained properly
- Enforce loss control policies and procedures
Minimum Requirements – Dispatch Supervisor
To qualify for this position, applicants must meet the following criteria:
Educational Requirements:
- Grade 12 / Matric
- Diploma or Degree in Logistics, Supply Chain, or Business Management (Advantageous)
Experience:
- Minimum 5 years’ experience in logistics/warehouse operations
- At least 2 years in a supervisory or management role
Skills & Competencies:
- Strong leadership and people management skills
- Excellent communication skills (verbal and written)
- Strong analytical and problem-solving ability
- High attention to detail and accuracy
