Purpose of the Role
The Despatch Clerk is responsible for coordinating and administering all despatch activities at the Pretoria West facility — including ensuring trucks are dispatched on time, maintaining despatch documentation and records, reconciling van sheets and despatch recons, overseeing stock variances, and supporting the despatch team’s daily operations. Accuracy, speed, and a strong customer service orientation are central to success in this role.
Key Responsibilities – Despatch Clerk
Fleet Despatch Coordination
- Ensure all trucks are despatched timeously every morning in line with route schedules and operational requirements.
- Arrange replacements for despatch staff where absenteeism or operational gaps require intervention, ensuring continuity of despatch operations without delay.
- Arrange internal distribution labour where necessary to support the despatch team’s daily loading and outbound activities.
- Ensure the entire despatch team is wearing the correct uniform at all times in line with RCL Foods’ standards.
Despatch Administration & Record Keeping
- Ensure the despatch recon document is completed accurately and in full every day without exception.
- Maintain prescribed records of all goods received and despatched, ensuring complete, accurate, and retrievable documentation at all times.
- Ensure all data captured into despatch systems and documentation is correct, verified, and free from errors.
- Verify production transfers daily and confirm all returns to despatch are accurately reflected in the system and supporting documentation.
Reconciliation & Stock Control
- Balance despatch recon daily sales against van sheet daily sales per route — identifying and investigating any discrepancies.
- Reconcile and oversee despatch foreman recons on a daily basis, ensuring all route reconciliations are complete and signed off.
- Count and accurately record all stock returns from drivers on the return slip, ensuring full accountability for every item returned.
- Oversee stock variances identified during reconciliation and report all variances to management with supporting documentation and proposed explanations.
Customer Service & Team Support
- Enhance and maintain excellent customer service standards within the despatch department — both for internal stakeholders and external customers interfacing with the despatch function.
- Support the despatch team with guidance, coordination, and problem-solving to ensure smooth, efficient, and compliant daily operations.
Minimum Requirements – Despatch Clerk
Educational Qualifications
- Matric (Grade 12) — required
- National Diploma in Logistics, Supply Chain, Business Administration, or a related field — advantageous
Work Experience
- Minimum of 2 years of experience in a similar despatch, distribution, or logistics administration role — essential
- Prior experience in an FMCG production or distribution environment is strongly preferred
