AFGRI’s grain forwarding function sits at the intersection of trading, logistics, and financial administration — a high-stakes environment where the accurate and timely capture of load data directly determines whether clients are invoiced correctly and transport vendors are paid on time. The Contract Administrator: Forwarding is the operational backbone of this process, responsible for reconciling and capturing loads onto the Agris system for invoicing and vendor payment, managing contract delivery movements, and ensuring that every tonne delivered is accounted for with precision.
This role demands a candidate who is exceptionally accurate, methodical, and accountable — someone who understands that an uncaptured load, an unreconciled delivery, or a missed anomaly report has real financial consequences for the business and its clients. You will work closely with Traders, Logistics Operators, and Admin Assistants to plan deliveries, resolve queries, manage third-party silo transactions, and maintain contract integrity across a busy forwarding operation.
The ideal candidate brings 2 to 5 years of contract administration experience in the agricultural environment, a sound knowledge of the agricultural grain sector, and ideally some familiarity with the Agris system. Candidates must be results-oriented, stress-resilient, and capable of driving tasks through to full resolution without losing accuracy under pressure.

Key Responsibilities
Contract Monitoring & Delivery Tracking
- Monitor contract delivery movements on an ongoing basis using the Daily Open Orders Report and Ticket Report, ensuring all deliveries are tracked accurately and timeously.
- Liaise with Traders and Logistics Operators to plan upcoming monthly and ad hoc deliveries, ensuring contract requirements are understood and execution is coordinated in advance.
- Prepare Agris contracts via Deal Sheet for intercompany (IC) contracts in time for the relevant delivery date, and issue instructions and orders to the Logistics Operator in sufficient time for on-time execution.
- Extend contract delivery end dates at month end where applicable, ensuring no contracts lapse due to administrative oversight.
- Monitor Agris system integrations to ensure data flows are functioning correctly and flag any integration issues to the relevant manager promptly.
Load Capture & Reconciliation
- Manually capture tonnages ordered and delivered to non-AFGRI silos for third-party transactions, ensuring all data is entered accurately and completely.
- Reconcile all deliveries between loading and off-loading locations, capturing destination tonnages and matching loads in shipment to facilitate accurate and timely invoicing.
- Capture tonnages on contracts delivered on a Direct Delivery basis and match purchases and sales in accordance with contract terms.
- Ensure all loads are captured timeously so that Admin Assistants can process transport tickets and vouchers to SAP for payment within agreed terms.
- Maintain accurate transport Shipper IDs and freight rates in Agris to minimise queries, payment stoppages, and reconciliation discrepancies.
Contract Balancing & Close-Off
- Balance and close off Sales contracts in Agris once all deliveries have been reconciled and confirmed, ensuring the system accurately reflects contract status at all times.
- Reconcile and close off IC contracts in accordance with AFGRI’s intercompany contract management procedures.
- Ensure all contract close-off activities are completed within the required timeframes and that no open contracts remain unresolved beyond their delivery end dates without appropriate action.
Anomaly Reporting & Claims Management
- Report anomalies, deviations, and non-deliveries on contracts to the relevant manager without delay, providing clear and accurate detail to support timely resolution.
- Report stock differences — both tonnage and grade variances — and initiate claims from either the Transporter or Silo Operator where discrepancies are identified.
- Follow up and resolve queries on invoiced loads within a 2-working-day turnaround, ensuring client and vendor queries are closed efficiently and accurately.
- Assist Admin Assistants in resolving transport queries, providing guidance and support to ensure accurate and timely processing.
- Provide necessary documentation to the manager when clients are handed over for non-payment, ensuring all relevant records are complete and accurately maintained.
Stakeholder Liaison & Communication
- Maintain effective working relationships with Traders, Logistics Operators, Admin Assistants, and other internal stakeholders to ensure seamless contract administration and delivery execution.
- Communicate load status updates, anomalies, and query resolutions clearly and professionally to all relevant parties within required timeframes.
- Engage proactively with transport vendors and silo operators to resolve discrepancies, confirm delivery data, and facilitate claims processes where required.
- Support the broader forwarding team in achieving accurate, compliant, and timely contract administration outcomes across the full portfolio of grain contracts.
Minimum Requirements
Educational Qualifications
- Grade 12 / Matric — minimum requirement.
- Any additional qualification in administration, logistics, supply chain, or agricultural management will be advantageous.
Experience
- 2 to 5 years’ contract administration experience in the agricultural environment — essential.
- Demonstrated experience in load reconciliation, contract capture, or logistics administration within a grain, commodity, or agri-logistics environment.
- Prior exposure to third-party silo transactions, direct delivery contracts, or intercompany contract management will be a strong advantage.
Technical Skills
- Computer literacy — proficient in MS Office, particularly Excel, for reconciliations, reporting, and data management.
- Understanding of the Agris system — advantageous; candidates with Agris experience will be given preference during shortlisting.
