About the Role
The Clinic Receptionist is responsible for welcoming patients, managing clinic appointments, handling telephone enquiries, and ensuring that all patient records and documentation are accurate and properly maintained. The role supports healthcare professionals by coordinating patient flow and administrative processes to enable the delivery of quality patient care.
This position requires strong communication skills, attention to detail, and the ability to remain composed in a fast-paced clinical environment.
Key Responsibilities
Patient Reception and Administration
The successful candidate will be responsible for registering patients according to established standards and opening new patient files in line with Dis-Chem procedures. This includes ensuring that patient information is accurate, complete, and updated at all times.
Patients must be assisted with completing medical documentation, including medical aid and insurance forms, while maintaining confidentiality and professionalism.
Appointment Coordination and Patient Flow
The Clinic Receptionist will coordinate and manage patient appointments, ensuring that patients move through scheduled appointments efficiently. This includes following up on medical reports when required and ensuring that clinic processes run smoothly throughout the day.
Medical Aid and Payment Processing
The role includes processing medical aid payments and assisting patients with medical aid authorisation procedures. The receptionist must be able to explain processes clearly and follow up with patients regarding outstanding feedback or approvals when necessary.
Telephone and Switchboard Management
The position requires answering all incoming calls timeously in accordance with Dis-Chem standards and using correct telephone etiquette at all times.
Responsibilities include providing accurate information to callers, taking detailed messages, confirming caller details, and ensuring that messages and calls are transferred to the correct staff members. All messages must be clearly recorded and communicated without error.
Reception Area and Equipment Oversight
The Clinic Receptionist must ensure that the reception area is clean, organised, and professional, safeguarding patient privacy and confidentiality. The role also includes monitoring and maintaining clinical equipment, stationery, and medication required at reception level.
Patient Support and Emergency Assistance
The role requires assisting patients who may be in distress and responding appropriately during emergencies by following clinic protocols. Providing reassurance and professional support to patients forms an important part of this responsibility.
