Key Responsibilities of a Claims Clerk

Proof of Delivery (POD) Extraction & Submission

  • Access the Capisol platform to retrieve all outstanding Proof of Delivery (POD) documents accurately and without omission.
  • Submit extracted PODs to the Credit Controller for onward submission to the Pick N Pay Head Office, ensuring all documentation is complete and correctly formatted.
  • Ensure all POD extraction is completed within the first week of each month, maintaining a consistent and reliable delivery schedule that supports the broader credit control process.

Data Processing & System Capturing

  • Process all BBR value-only credits and value-only debits on Syspro through the Document Approval workflows, ensuring all entries are accurate and compliant with processing standards.
  • Capture and process Milling, Grocery, and Sugar credit notes using the Activity Tracker and Document Approval workflows, applying the correct coding and documentation at every step.
  • Process Sugar Business Unit pricing claims accurately and timeously, ensuring all claims are resolved within the required timeframes and correctly reflected in the system.

Month-End Compliance & Financial Closing Support

  • Ensure that all transactions and documentation are processed within stipulated month-end deadlines, with no outstanding items carried over without appropriate escalation.
  • Assist in ensuring the completeness and accuracy of records during financial closing periods, supporting the broader Finance and Credit Management team in achieving a clean month-end close.

Credit Control Support & Query Resolution

  • Assist Credit Controllers with general credit control administration, providing reliable and timely operational support across multiple accounts.
  • Engage proactively with Credit Controllers across various accounts to resolve queries, provide documentation, and support the resolution of outstanding claims and credits.
  • Collaborate with teams across seven RCL bakeries to obtain, verify, and process claims and POD information as required for the Shoprite and Pick N Pay accounts.

Banking & Payment Processing

  • Process customer payments from daily bank statements onto the system, ensuring all receipts are correctly allocated and accurately reflected in the accounts.
  • Identify any discrepancies in payment processing promptly and escalate these to the relevant Credit Controller or Finance Manager with full supporting documentation.
  • Maintain accuracy and completeness in all banking entries, ensuring the system reflects the true daily financial position of the assigned accounts at all times.

Minimum Requirements – Claims Clerk

Educational Qualifications:

  • Tertiary qualification in Finance or a related field (essential)

Experience:

  • Demonstrated experience working with large volumes of claims in a financial or commercial environment (essential)
  • Experience working with Microsoft Excel — particularly for data management and reporting (essential)
  • Experience working on Syspro (advantageous)

Technical Skills:

  • Proficiency in Microsoft Excel for data processing, tracking, and reporting (essential)
  • Working knowledge of Syspro or a comparable ERP/financial processing system (advantageous)
  • Familiarity with Capisol or comparable document management platforms (advantageous)
  • Experience with Document Approval workflows and Activity Tracker tools within a financial system (advantageous)
