Job Summary

The Booking Clerk is the primary architect of the dealership’s daily schedule. Your mission is to manage the service and test-drive reservation systems, ensuring that workshop capacity is optimized and that customers experience a seamless “check-in” process. In the automotive world, time is a critical commodity; you will be responsible for balancing customer needs with technical availability, all while providing the friendly, professional service that Hyundai customers expect.


Key Performance Areas & Responsibilities

1. Reservation & System Management

  • Accurate Scheduling: Manage complex booking and reservation systems to ensure all customer information is captured accurately and workshop slots are utilized efficiently.

  • Prompt Processing: Process all reservations received via phone, email, or digital platforms immediately to prevent double-bookings or lost opportunities.

  • Confirmation: Proactively communicate with guests to confirm their booking details, providing necessary information regarding their arrival and expected duration of stay.

2. Customer Liaison & Service Excellence

  • Inquiry Handling: Serve as a knowledgeable point of contact for all customer inquiries, answering questions about service intervals, vehicle availability, and current dealership events.

  • Upselling & Cross-selling: Stay fully informed about current promotions and special offers to effectively suggest additional services or products that add value to the customer’s visit.

  • Complaint Resolution: Collaborate with the Service Manager and advisors to resolve any scheduling conflicts or customer complaints swiftly and professionally.

3. Front-End Operations

  • Check-In/Check-Out: Assist with the physical flow of customers at the dealership, including the processing of payments, issuing of receipts, and ensuring all administrative paperwork is complete.

  • Administrative Support: Maintain a neat and organized workspace and assist the broader sales and service teams with general administrative tasks during peak periods.

4. Operational Compliance

  • Data Management: Ensure that the CRM (Customer Relationship Management) database is updated with accurate contact details and vehicle history for every booking made.

  • Shift Readiness: Work effectively during weekends and holidays as required by the dealership’s operational schedule.


Requirements & Qualifications
