Ensure Accurate and Timeous Warranty Processing in a Leading Automotive Dealership

Motus Toyota Cape Gate, operating within the Toyota & Hino business unit of Motus Corporation, is currently seeking a detail-oriented and highly organised Administrator: Dealer Warranty to join its Service Department in Cape Town, Western Cape.

This permanent role reports directly to the Manager: Service and is suited to an experienced automotive administrator who understands warranty processes and thrives in a structured, policy-driven environment where accuracy and compliance are critical.


About the Role

The Administrator: Dealer Warranty plays a vital role in ensuring that all warranty claims are processed accurately, efficiently, and in strict accordance with company policy and Toyota warranty procedures. The position requires close collaboration with technicians, service advisors, and management to ensure that warranty submissions are complete, compliant, and submitted within required timeframes.

This role is essential in protecting dealership revenue, maintaining manufacturer compliance, and ensuring customer satisfaction through effective warranty claim management.


Key Responsibilities

Warranty Claims Processing

  • Obtain accurate and complete information related to warranty claims, including customer complaints and causes of defects.

  • Collect and verify all relevant documentation required for warranty submissions.

  • Capture warranty claims accurately on the E-Toyota system.

  • Assess vehicle eligibility for warranty work in line with Toyota policies and procedures.

  • Assess and submit warranty claims according to distributor guidelines.


Parts Control and Compliance

  • Ensure warranty claim tags are correctly attached to parts and forwarded to Toyota South Africa within required timeframes.

  • Confirm daily that all warranty parts have been correctly tagged and stored by technicians.

  • Monitor compliance with Toyota warranty tagging and storage requirements.

  • Actively follow up on all service campaigns as instructed by the distributor.


Monitoring, Reporting and Follow-Ups

  • Check the warranty suspense file daily to ensure timely resolution of outstanding claims.

  • Control the warranty claims register and ensure payments are received.

  • Track claim statuses and report progress and issues to the Manager: Service.

  • Ensure that warranty claims are followed through to finalisation and payment.


Training and Policy Compliance

  • Attend all warranty training courses provided by the distributor.

  • Remain fully conversant with the Toyota Warranty Policies and Procedures Manual.

  • Stay updated on Toyota Warranty Bulletins and Special Service Campaign information.

  • Ensure ongoing compliance with all warranty-related policies and updates.


General Duties

  • Assist with other reasonable administrative or service-related duties when required.

  • Support service department operations through effective communication and cooperation.

  • Maintain high levels of accuracy, confidentiality, and professionalism at all times.


Qualifications and Requirements

  • Grade 12 (Matric) certificate.

  • Computer literacy is essential.

  • Clear criminal record.

  • Sound knowledge of warranty procedures.

  • Strong attention to detail and accuracy.

  • Motor industry experience will be an advantage.

  • Excellent verbal communication skills.
