About the Role
Stefanutti Stocks Coastal is seeking a dedicated and organised Plant Administrator to provide efficient administrative and operational support across the plant and equipment function. In this role, you will maintain accurate plant, equipment, and vehicle records, coordinate plant allocations and movements, follow up on maintenance and inspections, verify invoices against supporting documentation, and prepare plant reports for project teams and operational departments. You will liaise regularly with drivers, stores personnel, suppliers, and service providers — ensuring that the administrative backbone of the plant function is reliable, accurate, and current at all times.
This is a detail-driven, multi-stakeholder administrative role suited to a candidate with strong record-keeping discipline, sound numerical ability, and a working understanding of plant, logistics, and maintenance administration in a construction or related environment. The role is primarily office-based but may require occasional visits to plant yards, workshops, or project sites, and may involve overtime during periods of high operational demand.
Key Responsibilities of a Plant Administrator

- Maintain accurate plant, equipment, and vehicle records — including registers, certificates, maintenance records, inspection documentation, and supporting files.
- Ensure all records are current, correctly filed, and accessible to relevant stakeholders at all times.
- Manage and update all plant administration filing systems to support efficient retrieval and audit readiness.
- Ensure that all documentation related to plant assets is complete, accurate, and compliant with company requirements.
Plant Coordination & Utilisation
- Coordinate plant allocations, transfers, returns, and movements across projects and operational sites.
- Maintain accurate information to support effective plant utilisation and avoid idle or misallocated equipment.
- Liaise with project teams and operational departments to confirm plant availability, scheduling, and requirements.
- Keep all relevant stakeholders informed of plant movement status and allocation changes in a timely manner.
Maintenance & Compliance Administration
- Coordinate and follow up on plant servicing, maintenance, inspections, and repairs to ensure no scheduled events are missed.
- Track and monitor the status of all outstanding maintenance and compliance requirements.
- Ensure that inspection and compliance documentation is received, filed, and current for all plant and equipment.
- Liaise with service providers and workshops to confirm maintenance schedules and obtain feedback on completed work.
Invoice Administration & Cost Monitoring
- Maintain plant cost records and verify all invoices against supporting documentation before submission for processing or approval.
- Monitor plant-related costs and flag discrepancies or anomalies to the relevant supervisor or manager.
- Ensure all invoice submissions are accurately documented, correctly coded, and supported by the required paperwork.
- Contribute to cost control awareness by maintaining up-to-date plant cost records and assisting with cost reporting.
Reporting & Stakeholder Liaison
- Prepare accurate plant reports for project teams, operational departments, and management as required.
- Liaise with project teams, operational departments, drivers, stores, suppliers, and service providers on all plant-related administrative requirements.
- Communicate clearly and professionally across all levels of the organisation and with external stakeholders.
- Ensure that all reporting outputs are timely, accurate, and presented in a format that supports effective decision-making.

Core Values We Look For in a Plant Administrator
✅ Record Accuracy & Administrative Precision
Plant records, maintenance certificates, inspection documentation, and vehicle registers are only useful if they are accurate and current. We value administrators who approach every record update, file entry, and document submission with meticulous care — understanding that an outdated or incomplete record in a construction plant environment can have compliance, operational, and safety consequences.
✅ Proactivity & Follow-Through
Coordinating maintenance schedules, following up on outstanding inspections, and tracking invoice approvals all require a candidate who chases outcomes rather than waiting for them to arrive. We value administrators who stay ahead of their task list, flag upcoming deadlines before they become problems, and follow through on every open item until it is properly resolved and documented.
✅ Numerical Ability & Cost Awareness
Verifying invoices, maintaining cost records, and monitoring plant-related expenditure require more than basic administration skills — they require genuine numerical attention and a healthy awareness of when something doesn’t add up. We value administrators who approach cost-related tasks with care, question discrepancies, and contribute meaningfully to the plant function’s cost control discipline.
✅ Stakeholder Communication & Coordination
This role sits at the intersection of multiple operational functions — project teams, stores, transport, suppliers, workshops, and management all depend on the plant administrator for accurate information and timely coordination. We value administrators who communicate clearly, respond promptly, and manage multiple stakeholder relationships professionally without losing accuracy or consistency across any of them.
✅ Adaptability & Operational Awareness
Working in a construction plant environment means occasionally stepping outside the office to visit plant yards, workshops, or project sites — and occasionally working beyond standard hours during high-demand periods. We value administrators who are flexible, operationally aware, and willing to adapt their working approach to the real-world demands of a busy construction and plant management environment.
Career Growth Opportunities in Construction Plant Administration & Operations
Starting as a Plant Administrator with a leading construction group is a strong foundation for a long-term career in plant management, logistics, and construction operations. For motivated individuals, progression is clear:
- Plant Administrator → Senior Plant Administrator / Plant Coordinator
- Plant Coordinator → Plant Manager / Fleet & Equipment Manager
- Plant Manager → Operations Manager: Construction Plant
- Operations Manager → General Manager: Plant & Equipment Services
Your career path is in your hands.
