About the Role

The Quality Assurance Administrator provides vital administrative, data governance, and stakeholder support across trade test accreditations, learner assessments, and quality monitoring. Key responsibilities include managing high-volume data entry, maintaining secure filing archives, verifying supporting documentation, submitting trade test certificates to the National Artisan Moderation Body (NAMB), and producing quality control reports.
This role requires a proactive, highly organized administrator with strong numerical and analytical skills, proficiency in MS Office, and proven experience managing complex administrative records in a fast-paced corporate environment.

Administrative & Operational Support

  • Maintain an organized, audit-ready physical and electronic filing system for all trade tests, accreditation files, assessment records, and monitoring reports.
  • Archive and retrieve records, applications, serial numbers, and issued certificates in compliance with audit procedures and regulatory guidelines.
  • Coordinate with internal and external stakeholders to facilitate smooth certification workflows and turnaround time monitoring.
  • Provide comprehensive administrative support for internal quality reviews, quarterly compliance reporting, and external audits.

Data Verification & Management Information Systems (MIS)

  • Capture learner information, verification documents, and assessment records accurately onto the Management Information System (MIS).
  • Verify supporting documentation for completeness and accuracy prior to trade test certificate submissions to NAMB.
  • Generate routine quality assurance reports, analyze operational data, and track system turnaround times.
  • Uphold strict data integrity, confidentiality, and data protection standards across all databases and archives.

Stakeholder Communication & Reporting

  • Communicate professionally with internal teams, external service providers, learners, and regulatory bodies.
  • Draft clear written correspondence, meeting minutes, technical summaries, and quality assurance reports.
  • Respond timeously to provider and learner inquiries regarding accreditation and trade test statuses.

Educational Qualifications

  • National Diploma (NQF Level 6) in Business Administration, Information Management, QA, or a related field preferred.
  • Grade 12 / Matric Certificate.

Work Experience & Technical Competencies

  • Minimum of 2 years’ administrative experience in a fast-paced, quality-focused environment.
