Core Duties & Responsibilities

The duties across all advertised Level 5 Secretary positions are standardized and encompass a broad scope of executive office administration, communication routing, travel logistics, and regulatory document processing:

Office Administration & Diary Management

  • Provide comprehensive secretarial support services directly to the assigned unit Director or Chief Director.

  • Manage the Director’s diary systematically, recording all upcoming appointments, official events, operational meetings, and strategic engagements.

  • Collect and organize all relevant documents in advance to enable the Director to prepare thoroughly for scheduled briefings and command meetings.

  • Manage all incoming and outgoing correspondence moving through the Director’s office, maintaining strict data integrity and filing protocols.

  • Ensure all administrative documents submitted for the Director’s approval strictly adhere to set departmental norms, formats, and professional standards.

  • Establish and maintain an airtight physical and digital filing system within the office to guarantee swift document retrieval.

Reception & Communication Services

  • Receive incoming telephone calls promptly, manage general user queries with excellent telephone etiquette, and refer callers to the correct role players.

  • Receive visitors and corporate stakeholders entering the executive suite with a high level of hospitality, tact, and professional discretion.

  • Draft routine correspondence, formal memorandums, letters, and basic internal reports as directed by command management.

  • Record basic minutes during unit meetings led by the Director, ensuring accurate documentation of action items and institutional decisions.

Logistical & Financial Administration

  • Liaise directly with registered travel agencies to coordinate complex travel arrangements, accommodation, and transport for the Chief Director or Director.

  • Process official travel and subsistence claims accurately, following up on logistics to ensure the Director formalizes and endorses accommodation prior to final reservation confirmation.

  • Coordinate events and arrange formal meetings, which includes booking state venues, inviting key institutional role players, organizing refreshments, and setting up schedules.

  • Process all incoming commercial invoices that emanate from the functional operational activities of the Director’s office.

  • Handle the procurement of standard operational items such as office stationery, department refreshments, and basic consumer goods.

  • Administer day-to-day personnel matters within the executive suite, including tracking and submitting leave records for the Director.

Legislative Compliance & System Updates

  • Operate standard office equipment such as advanced digital scanning setups, high-volume photocopying machines, and telephonic fax interfaces.

  • Remain continuously abreast of updated procedures, software configurations, and workflow processes that apply within the Department of Defence (DOD) to ensure seamless workflow support.

  • Study relevant Public Service and Departmental prescripts, regulations, national human resource directives, and organizational policies to ensure their proper application.

Minimum Appointment Requirements
