Key Responsibilities of a Warehouse Administrator
Inventory Management & Stock Control
- Maintain accurate and up-to-date inventory records at all times, ensuring the integrity of stock data across all warehouse locations.
- Perform regular stock checks and cycle counts to verify physical inventory levels against system records and investigate and resolve variances promptly.
- Manage the receipt, storage, and dispatch of goods in full compliance with health, safety, and operational protocols.
- Ensure that all inventory data entry is completed accurately and timeously within the warehouse management system.
Inbound & Outbound Shipment Coordination
- Coordinate inbound and outbound shipments, ensuring all accompanying documentation is complete, accurate, and compliant with applicable regulations.
- Process and manage order documentation from receipt through to dispatch, maintaining a clear and auditable paper and digital trail at every stage.
- Monitor and follow up on shipment statuses, proactively communicating delays or discrepancies to relevant stakeholders.
- Ensure all goods are received, checked, and dispatched in accordance with established standard operating procedures.
Reporting & Data Management
- Assist in the preparation of operational reports covering inventory levels, order statuses, warehouse activities, and performance metrics.
- Perform accurate and efficient data entry across all warehouse management systems and administrative platforms.
- Support report generation and data analysis to provide management with timely, reliable insights for operational decision-making.
- Maintain organised and accessible electronic and physical records for all warehouse transactions and administrative activities.
Warehouse Standards, Health & Safety Compliance
- Ensure the warehouse is consistently organised, clean, and compliant with all operational and safety standards.
- Adhere strictly to all health and safety protocols governing the receipt, handling, storage, and dispatch of goods.
- Assist in the implementation of warehouse management systems and support continuous improvement initiatives to enhance operational efficiency.
- Identify and escalate any compliance or safety concerns to the appropriate supervisor or manager without delay.
Cross-Functional Collaboration & Staff Support
- Collaborate effectively with other departments and external partners to streamline supply chain processes and resolve operational issues promptly.
- Train and assist warehouse staff in daily administrative operations and procedures as required, supporting a culture of operational excellence.
- Serve as a reliable point of administrative support for the warehouse team, ensuring colleagues have the documentation, records, and system access they need to perform their roles effectively.

Minimum Requirements – Warehouse Administrator
Educational Qualifications:
- Matric / National Senior Certificate (essential)
- Certification in Logistics, Supply Chain Management, or a related field (advantageous)
Experience:
- Proven experience in warehouse administration or logistics (essential)
- Previous experience with data entry and report generation in a warehouse or logistics environment (advantageous)
- Experience using warehouse management software and tools (advantageous)
Technical Skills:
