About the Role
The Supply Chain Management Clerk is an entry-level position within the procurement and logistics function at the Department of Public Works Pretoria Regional Office. In this role, you will facilitate and coordinate bookings for travel, accommodation, and conferences, execute various LOGIS functions in relation to the procurement of goods and services, ensure timely capturing of invoice payments on LOGIS, BAS, or SAGE, approve calls on Archibus, update commitment registers, and assist with monthly reconciliation of accounts. Key Responsibilities of a Supply Chain Management Clerk
Travel, Accommodation & Conference Coordination
- Facilitate and coordinate bookings for travel, accommodation, and conferences for officials as required.
- Maintain accurate records of all travel and accommodation arrangements made on behalf of the Department.
- Liaise with relevant service providers and internal stakeholders to confirm bookings and resolve queries.
- Ensure all travel and accommodation administration is completed in line with applicable Treasury Travel Guidelines.
Procurement Administration & LOGIS Functions
- Execute various LOGIS functions in relation to the procurement of goods and services.
- Assist with the ordering of materials and equipment from approved suppliers.
- Administer documentation for requisitions and reports relating to procurement activities.
- Ensure all procurement administration is completed accurately and in compliance with applicable SCM prescripts.
Invoice Processing & Payment Administration
- Ensure the timely capturing of invoice payments on LOGIS, BAS, or SAGE in line with payment deadlines.
- Approve calls on Archibus as required within the unit’s operational processes.
- Submit invoices for payment and follow up on outstanding payments as required.
- Demonstrate the ability to work effectively on the applicable invoice tracking system (Reapatala).
Financial Administration & Reconciliation
- Update commitment registers consistently and accurately.
- Assist with monthly reconciliation of accounts within the SCM unit.
- Assist with the provision of financial statements inputs as required.
- Maintain accurate financial records in support of the unit’s reporting and compliance obligations.
General Office Administration & Support
- Administer office correspondence, documents, and reports within the SCM unit.
- Perform transit duties and other related tasks as per the supervisor’s instruction.
- Carry out a wide range of office management and administration tasks as required.
- Provide reliable general administrative support to the SCM unit and contribute to the overall effectiveness of the team.
Minimum Requirements – Supply Chain Management Clerk
Educational Qualifications:
- National Senior Certificate / Grade 12 or equivalent qualification (essential)
Experience:
- No experience required — this is an entry-level post open to recent matriculants
Knowledge Requirements:
- Knowledge in Provisioning Administration / Supply Chain Management / Logistics or facilitation of travel and accommodation arrangements (advantageous)
