What Does a Government Secretary Do?

Secretaries are essential to the effective functioning of senior directorates within the Department of Defence. In this role, you will be responsible for providing comprehensive secretarial and receptionist support to the Director — managing the diary, handling correspondence, arranging meetings and travel, processing claims and invoices, maintaining filing systems, and ensuring the Director is well-prepared for all engagements at all times.

This is a trust-based, detail-driven support role that requires a Grade 12 qualification, strong computer literacy, excellent organisational skills, and the ability to act with tact and discretion in a sensitive government defence environment.

Key Responsibilities of a Secretary

Secretarial & Receptionist Support

  • Provide secretarial and receptionist support services to the Director.
  • Receive telephonic calls and refer them to the correct role players where appropriate.
  • Record appointments and events on the Director’s diary accurately and timeously.
  • Remain abreast with procedures and processes that apply in the office of the Director.

Document Typing, Filing & Correspondence

  • Type documents for the Director and other staff within the unit.
  • Draft routine correspondence and reports as directed.
  • Do filing of documents for the Director and the unit where necessary.
  • Maintain a manual filing system and an electronic document management database for the Director.
  • Receive, record, and distribute all incoming and outgoing documents.

Meeting & Event Arrangement

  • Arrange meetings and events for the Director and staff in the unit.
  • Identify venues, invite role players, organise refreshments, and set up for scheduled meetings and events.
  • Record basic minutes of meetings of the Director where required.
  • Collect all relevant documents to enable the Director to prepare for meetings.
  • Prepare briefing notes for the Director as required.

Travel, Claims & Invoice Processing

  • Liaise with travel agencies to make travel and accommodation arrangements for the Director.
  • Check arrangements when relevant documents are received.
  • Process travel and subsistence claims for the Director.
  • Process all invoices that arise from the activities of the Director’s work.

Office Administration & Procurement

  • Operate office equipment including fax machines, scanners, and photocopiers.
  • Administer matters such as leave registers, telephonic accounts, and attendance registers.
  • Handle the procurement of standard items including office refreshments for the Director.
  • Study relevant Public Service and departmental prescripts, policies, and documents to ensure proper understanding and application.

Research & Policy Awareness

  • Do research and analyse documents and situations as required by the Director.
  • Remain up to date with prescripts, policies, and procedures applicable to the work environment.
  • Ensure efficient and effective support to the Director at all times.

Minimum Requirements – Secretary

Educational Qualifications:

  • Grade 12 (NQF Level 4) or equivalent qualification (essential)
  • No experience required
  • Knowledge in client services, secretarial, or a related occupation (added advantage)
  • Completion of a Public Service internship (preference given)
  • Prior learning through experience or alternative courses (welcome to apply)

Security Requirements:

  • Must be able to obtain a confidential security clearance within one year of appointment
