Purpose of the Job
The Operations Supervisor is responsible for overseeing all daily operational activities to ensure efficient resource allocation, on-time deliveries, and excellent customer service. This includes managing staff, vehicles, equipment, and third-party services in line with customer requirements and company standards.
The role is essential in maintaining operational efficiency, customer satisfaction, and business growth.
Key Responsibilities of an Operations Supervisor
Operational Planning & Coordination
- Plan daily operational requirements based on bookings and customer needs
- Allocate vehicles, cranes, and crews effectively
- Conduct daily roll calls across operational sites
- Dispatch vehicles and monitor progress throughout the day
- Communicate delays to customers and management proactively
- Ensure on-time deliveries and collections
Fleet & Equipment Management
- Coordinate vehicle servicing and workshop schedules
- Track vehicle condition (tyres, oil, water, and general safety)
- Monitor COF and licensing compliance
- Maintain weekly vehicle reports and service records
- Ensure vehicles are operationally fit for customer requirements
- Manage equipment availability and utilisation
Reporting & Operational Control
- Complete daily operational performance reports
- Conduct proper debriefing procedures
- Maintain WIP and workshop reports accurately
- Ensure proper record keeping and documentation
Breakdowns & Incident Management
- Manage breakdown response and escalation procedures
- Report all incidents including insurance-related cases
- Support investigations and corrective actions
- Ensure timely communication during operational disruptions
Customer Service & Relationship Management
- Maintain strong customer relationships
- Resolve operational issues quickly and professionally
- Handle customer complaints and ensure corrective action
- Ensure consistent service delivery standards
Staff Supervision & Performance Management
- Supervise operational staff daily
- Ensure productivity and proper task execution
- Enforce discipline, SOP compliance, and company policies
- Support staff training and development
- Monitor performance and implement corrective actions
- Ensure staff compliance with medicals and safety requirements
Compliance & Administration
- Enforce all SOPs, HR policies, and operational procedures
- Maintain accurate administrative records and filing systems
- Ensure contracts are completed, signed, and filed correctly
- Maintain high housekeeping and audit standards
Minimum Requirements – Operations Supervisor
To qualify for this role, applicants must meet the following criteria:
Educational Qualifications:
- Grade 12 / Matric
Experience:
- 2+ years transport planning experience
- Experience working with Embrace contracts module (advantageous)
- Experience with crane trucks (advantageous)
Skills & Competencies:
- Strong communication skills (verbal and written)
- Excellent customer service and liaison skills
- Strong organisational and administrative ability
- Ability to supervise staff effectively
- Strong computer literacy (Microsoft Office Suite Level 2)
- Ability to work under pressure and meet deadlines
