Purpose of the Role
The Training Hub Co-Ordinator is responsible for the end-to-end co-ordination of learning programmes at the Pietermaritzburg Training Hub. You will ensure that all delegates meet their learning objectives while actively contributing to the hub’s overall performance targets.
This is a multi-functional administrative and coordination role that requires exceptional organisational ability, strong communication skills, and the capacity to manage multiple priorities in a fast-paced training environment.
Key Responsibilities – Training Hub Co-Ordinator
Training Programme Co-Ordination
- Co-ordinate and schedule all training courses hosted at the Pietermaritzburg Training Hub.
- Ensure training programmes run smoothly from planning through to completion.
- Liaise with Head Office Training Co-Ordinators to align hub activities with national training strategies.
- Attend to and resolve all queries from delegates and facilitators regarding training courses.
- Prepare training manuals, handouts, and multimedia resources (including DVDs) for all courses.
Training Statistics & HRD Reporting
- Capture and maintain accurate Human Resource Development (HRD) and training statistics.
- Record and update all training data on Microsoft Excel in a structured and accurate manner.
- Compile and submit comprehensive monthly training reports to management and Head Office.
- Ensure all training records meet compliance and audit requirements.
Financial Administration & Expense Management
- Update, control, and administer all financial expenses related to training hub operations.
- Process travel, accommodation, and subsistence claims for trainers and facilitators.
- Prepare and submit requisite payment documentation for all training-related expenses.
- Order stationery and training materials in line with budgetary requirements and procurement procedures.
Logistics & Travel Coordination
- Book accommodation, flights, bus tickets, and shuttle services for trainers and delegates.
- Ensure all travel logistics are confirmed, communicated, and documented accurately.
- Manage scheduling conflicts and make alternative arrangements promptly when required.
Equipment & Asset Management
- Maintain, control, and service all training equipment at the hub.
- Conduct regular checks to ensure all training aids, technology, and materials are functional and available.
- Manage the maintenance and control of all hub assets and equipment in accordance with company policy.
General Administration
- Perform all general administrative duties required for the efficient functioning of the training hub.
- Manage filing systems, correspondence, and document control for training records.
- Support the broader HR and training team with ad hoc administrative tasks as required.
Minimum Requirements – AVBOB Training Hub Co-Ordinator
Educational Qualifications
- Grade 12 (Matric) — required
- A relevant Human Resources or Training & Development qualification is advantageous
Work Experience
- Minimum 2 to 3 years of office administration experience
- Prior experience in a training, HR, or learning and development environment is strongly advantageous
Computer & Technical Knowledge
- Proficiency in Microsoft Office Suite: Excel, Word, PowerPoint, Outlook, and Internet
- Working knowledge of Windows operating environment
- Ability to maintain training statistics and produce reports using Excel
