Food Safety & Quality Administration Role – Speciality Division
RCL Foods is seeking a SHEQ Administrator FTC (Fixed Term Contract) to join the Speciality division based in Spartan, Gauteng. This contract role forms part of the SHEQ function and reports directly to the Senior QAT.

The SHEQ Administrator FTC will support the Food Safety Management System (FSMS) by administering collected data, maintaining documentation, and ensuring compliance systems remain updated and effective.

Purpose of the Role
The primary purpose of the SHEQ Administrator FTC is to provide administrative support to the Food Safety Management System and Health & Safety systems.
The role focuses on document control, equipment calibration administration, non-conformance reporting (NCR) tracking, complaint logging, audit support, and reporting functions. The position ensures that all relevant documentation, records, and trackers are maintained accurately and updated in line with compliance standards.
This role plays an important part in maintaining structured SHEQ processes within the Speciality Spartan operation.
Key Responsibilities
The SHEQ Administrator will create, amend, publish, and upload Food Safety Management System documentation and report monthly on documentation numbers.
Control of documents for FSMS and H&S systems must be maintained, including updating documents and ensuring proper version control. Assistance must be provided to the cleaning supervisor with compiling CSOP drafts and sending them for approval.
All documents must be updated to reflect “RCL group services” where required.
Equipment calibration administration forms a core responsibility. The administrator must assist with workflow management for equipment calibrations including mass pieces, scales, pH meters, hygrometers, oil testers, metal detectors, x-ray equipment, and thermometers.
Calibration log sheets must be kept up to date. Communication with suppliers must be maintained to arrange on-site calibrations and send equipment for calibration as required.
Non-conformance reports (NCRs) must be opened and followed up. The weekly NCR tracker must be updated and shared accordingly.
The role includes assisting QATs with logging complaints onto the SheqX system, raising internal and external audit NCRs, facilitating weekly technical reports and trackers, and updating customer complaints dashboards.
The yearly internal audit schedule must be updated. Sales reports must be obtained for monthly reporting purposes.
The administrator must create BRs on trackers and workflows and generate workflows for Microchem, scientific pest control services, and other ad hoc service providers.
SheqX overall administration includes uploading documents, creating users, and maintaining system integrity.
Monthly reporting responsibilities include trending micro results such as environmental swab results (TVC, Coliforms, E. coli), hand swab capturing, product results, water results, Listeria results, and cleaning efficiency.
The role includes verifying weekly thermometer verification records, maintaining calibration files, ensuring verification and calibration certificates are updated and filed, and ensuring hand-held measuring devices are sent for calibration.
Capturing and updating over massing trackers, customer complaints trackers, and RTV trackers as complaints arise is required.
Stationery arrangements and general administrative support must be managed as required.
Minimum Requirements
Matric / Grade 12 with an administration qualification
Minimum 2 to 3 years’ experience in a similar role will be advantageous
Mathematical and statistical acumen
Computer literacy in MS Office, Excel graphs, PowerPoint, Q-Pulse (SheqX advantageous)
