Position Overview
SAMHS is seeking four highly organised and reliable Secretaries to provide comprehensive administrative and secretarial support to Directors across various HQ Directorates. The ideal candidates must be detail-oriented, discreet, computer-literate and capable of working with senior personnel in a disciplined environment.

Key Responsibilities
Secretarial & Office Support

Provide full secretarial services to the Director.

Manage the Director’s diary, including scheduling appointments, meetings and events.

Receive, screen and route telephone calls to relevant role players.
-
Draft routine correspondence, memorandums and internal documents.

Handle the filing system and ensure easy access to documents.
Travel & Logistics
-
Liaise with travel agencies to coordinate travel arrangements.

Process travel and subsistence claims for the Director.
-
Follow up on travel documentation and ensure all bookings are approved.
Meeting & Event Coordination
-
Arrange meetings, book venues and prepare meeting schedules.

Invite stakeholders and organise refreshments when required.
-
Record basic minutes and ensure meeting documents are prepared in advance.
Document & Records Management
-
Maintain and update the office filing system.
-
Manage incoming and outgoing correspondence.
-
Ensure documents submitted for approval meet departmental standards.
-
Collect relevant documents and briefing notes for the Director.
Office Administration
-
Administer leave records and related HR matters for the Director.
-
Manage procurement of office items such as stationery and refreshments.
-
Operate office equipment including fax machines and photocopiers.
Compliance & Policy Knowledge

Stay informed on DOD and Public Service prescripts and apply them correctly.

Maintain confidentiality and act with tact, discretion and professionalism.
Minimum Requirements
-
Grade 12 (NQF Level 4) or equivalent (compulsory).
-
Secretarial/administration experience (advantageous).
-
Strong communication skills (written and verbal).
-
Computer literacy: MS Word, Excel, PowerPoint.
-
Good telephone etiquette and interpersonal skills.
-
Excellent organisational and time-management abilities.
-
High reliability, discretion and ability to interact with diverse levels.
