About the Secretary Role

The Secretary to the Director of Strategic Planning is a key administrative position within Bloemfontein’s municipal or government operations. This role supports the Director in all administrative, clerical, and secretarial functions while ensuring smooth office operations.

The ideal candidate is highly organized, reliable, and has excellent communication skills, with experience in office administration, records management, and secretarial duties.


Position Overview

As the Secretary, you will act as the main point of contact for the Director, handling calls, correspondence, scheduling, and logistical arrangements. You will ensure efficient office operations, manage records, and provide support for meetings, events, and travel arrangements.

This position requires discretion, tact, and professionalism, with strong organizational skills and attention to detail.


Key Responsibilities

  • Receive and redirect telephone calls, answering routine enquiries where applicable.

  • Record the Director’s engagements and maintain an organized appointment schedule.

  • Type documents, correspondence, and reports for the Director and staff.

  • Operate and maintain office equipment including photocopiers and shredders.

  • Provide clerical and administrative support to the Director.

  • Liaise with travel agencies to arrange travel and accommodation; verify all travel documents.

  • Organize meetings and events, including booking venues, sending invites, arranging refreshments, and setting up schedules.

  • Process travel and subsistence claims for the unit.

  • Handle invoices related to the Director’s activities.

  • Record basic minutes for meetings when required.

  • Maintain filing systems for the Director and unit.

  • Administer leave registers, telephone accounts, and other office records.

  • Procure standard office items such as stationery and refreshments.

  • Collect relevant documents to assist the Director in meeting preparations.


Minimum Requirements

  • NQF 4 (Grade 12) is required; a post-matric qualification is preferred.

  • Secretarial and typing experience.

  • Knowledge of telephonic etiquette, office administration, and records management.

  • Strong written and verbal communication skills.

  • Computer literacy and basic MS Office skills.

  • Excellent organizing and planning skills.

  • High level of reliability, discretion, and professionalism.
