Position Overview

The Department of Defence is seeking a dedicated and highly organised Secretary to provide essential secretarial and administrative support to the Director. This position requires strong communication skills, excellent computer literacy, and the ability to manage sensitive information with tact and discretion.

Key Responsibilities

As the Secretary, your duties will include:

Administrative & Secretarial Support

  • Manage and coordinate the Director’s diary, meetings, and daily schedule.

  • Receive and direct telephone calls to the correct role players.

  • Maintain effective communication channels and ensure smooth office operations.

  • Operate office equipment such as photocopiers and fax machines.

  • Draft routine correspondence, memorandums and reports.

Travel & Logistics Coordination

  • Liaise with travel agencies to arrange travel itineraries for the Chief Director.

  • Process travel and subsistence claims.

  • Ensure that bookings and accommodation are approved by the Director before final confirmation.

Meeting Coordination

  • Arrange meetings, book venues, send invitations and organise refreshments.

  • Prepare schedules and agendas for meetings and events.

  • Record and compile basic minutes for the Director.

Document & Filing Management

  • Establish and maintain an efficient filing system for the Director’s office.

  • Manage incoming and outgoing correspondence.

  • Ensure documents for approval comply with departmental norms and standards.

Human Resource & Office Support

  • Assist with leave administration for the Director.

  • Procure and manage office supplies, stationery, and refreshments.

  • Collect and organise documents for the Director’s preparation and decision-making.

Policy and Compliance

  • Stay updated on Public Service prescripts, departmental policies, and procedures to ensure accurate application.


Minimum Requirements

To qualify, applicants must have:

  • Grade 12 / NQF Level 4 or equivalent.

  • Secretarial or administrative experience (an added advantage).

  • Proven computer literacy (MS Word, Excel, PowerPoint).

  • Excellent telephone etiquette and communication skills.

  • Strong organisational and interpersonal skills.

  • Ability to work reliably, with discretion and professionalism.

  • Ability to interact with individuals at various levels.
