Position Overview
The Secretary will provide high-level secretarial and clerical support to the Directorate at ADA FMN HQ. This role involves managing correspondence, organizing meetings and events, coordinating travel arrangements, and maintaining office administration in line with Department of Defence procedures.
The ideal candidate will be highly organized, professional, discreet, and efficient, with strong interpersonal and communication skills. A Security Clearance must be obtained within one year of employment.
Key Responsibilities
1. Administrative & Secretarial Support
-
Provide secretarial and clerical support to the Directorate.
-
Receive telephone calls and refer them to the appropriate role players.
-
Draft routine correspondence and reports.
-
Establish and maintain filing systems.
-
Manage incoming and outgoing documents and mail.
-
Handle procurement of standard office items, stationery, and refreshments.
2. Meetings & Event Coordination
-
Arrange meetings and events for the Director, including identifying venues and inviting participants.
-
Organize refreshments and schedule meetings efficiently.
-
Record basic minutes of meetings.
3. Travel & Logistical Coordination
-
Coordinate all travel arrangements for the Director.
-
Compile and submit subsistence and travel (S&T) claims.

Ensure compliance with departmental procedures and policies.
4. Office Management & Compliance
-
Operate office equipment including fax, photocopiers, scanners, and computers.

Maintain professional standards, confidentiality, and discretion.

Stay updated on Department of Defence policies and procedures.
Minimum Requirements
Education & Qualifications:
-
Grade 12 (Matric) or equivalent.
-
Additional qualifications in Administration or Secretarial studies are advantageous.
Experience & Skills:

Experience in administration or secretarial roles.

Proficient in MS Word, Excel, PowerPoint, Lotus Notes, and office equipment.

Strong typing, organizational, and interpersonal skills.
-
Professionalism, reliability, and ability to act with tact and discretion.

Good telephone etiquette.

Self-motivated, flexible, and able to work under pressure.
