The Sales Administrator plays a critical support role by enabling sales consultants and management to operate efficiently, ensuring that documentation, reporting, coordination, and internal processes are completed accurately and on time.

About the Role
The Sales Administrator is accountable for providing comprehensive administrative support to the sales department. The role focuses on managing documentation, coordinating sales-related processes, compiling reports, liaising with internal departments and external suppliers, and ensuring that sales administration workflows operate smoothly and efficiently.
This position requires close interaction with Sales Consultants, Sales Management, Technical Teams, Payroll, and external clients. The Sales Administrator must be able to handle high volumes of information, meet strict deadlines, and maintain excellent attention to detail to support operational effectiveness and service delivery.
Strong computer literacy, especially in Excel, is essential, as the role involves reporting, data extraction, and coordination across multiple systems and stakeholders.
Key Responsibilities
Sales Department Administrative Support
The successful candidate will assist Sales Management and Sales Consultants with daily administrative duties to ensure uninterrupted sales operations. This includes managing documentation, following up on outstanding items, and ensuring that departmental processes are completed accurately.
The role requires responsibility for the completion and coordination of department orders, ensuring that all required paperwork is processed correctly and timeously.
Staff Administration and Internal Coordination
The Sales Administrator will administer all paperwork related to new starters and terminations within the sales department. This includes preparing documentation, coordinating with internal departments, and ensuring that information is submitted correctly for payroll processing.
The role also includes creating manpower documentation for terminations and new employees, supporting accurate workforce reporting and planning.
Sales Targets, Letters, and Communication
The position requires drafting monthly target letters for Sales Consultants and Sales Managers, ensuring accuracy, professionalism, and adherence to internal guidelines.
The Sales Administrator is also responsible for drafting insurance letters when required and managing formal sales-related correspondence.
SMS communication to sales staff must be managed as required by sales management, ensuring clear and timely messaging.
Installation Coordination and Supplier Liaison
The Sales Administrator will liaise with Sales Representatives regarding all installation requests, ensuring that requests are captured, tracked, and communicated correctly to relevant internal teams.
Regular liaison with suppliers is required to support sales operations, resolve administrative issues, and ensure continuity of service delivery.
Invoicing, Payments, and Financial Administration
The role includes assisting Sales Consultants with pro-forma invoices and ensuring that supporting documentation is prepared accurately.
The Sales Administrator is responsible for administration and payment processes for yellow book leads received from private installers and estate agents. This includes completing cheque requisitions for payment and ensuring that processes align with internal financial controls.
Reporting, Leads, and Data Management
The Sales Administrator will capture sales queries on internal systems and ensure accurate tracking and follow-up.
The role requires drawing up regional Open Leads reports and reporting on these during weekly meetings. Accurate data compilation and reporting are critical to support sales performance analysis and decision-making.
The position also includes preparing monthly certificates for top Sales Consultants for sales month-end meetings, supporting recognition and performance initiatives.
Cross-Departmental Support and Reporting
The Sales Administrator will assist Eastern Cape branch administrators by pulling reports and data required for branch reporting. This includes extracting information from systems, compiling data accurately, and supporting management reporting requirements.
Strong collaboration with Technical Departments and other internal stakeholders is required to ensure information flow and operational alignment.
Minimum Requirements

Minimum Grade 12 qualification

Minimum 3–5 years’ administration experience

Advanced computer literacy, particularly in Microsoft Excel
