Full Payroll Administration and Compliance Role in the Administration Division

An opportunity has arisen for a skilled and detail-oriented Payroll Administrator within the Administration division under HO Finance, based in Cape Town, Western Cape. This is a permanent position responsible for ensuring effective and efficient payroll administration while supporting HR, Operations, and the Head Office Payroll Team.

The Payroll Administrator performs the full payroll function, including processing, verifying, and reconciling pay information in line with applicable legislation, company policy, and audit requirements. This role requires strong payroll expertise, excellent attention to detail, and the ability to coordinate payroll information across multiple regions.

This opportunity is ideal for an experienced payroll professional who is confident in managing complex payroll processes while maintaining strict compliance with statutory and company standards.

About the Role

The Payroll Administrator is responsible for end-to-end payroll processing, ensuring accurate and timely payment of salaries and wages. The role involves reconciling payroll data, preparing analytical salary reviews, and explaining material variances between payroll periods.

The successful candidate will work closely with the Payroll Supervisor, HR, and Operations teams to ensure payroll accuracy and compliance with labour legislation and statutory requirements. The position requires both independent work and collaboration within a team environment.

Strong system proficiency, particularly in SAGE300 People, is essential for this role, along with a sound understanding of payroll legislation and statutory compliance requirements.

Full Payroll Processing and Administration

The Payroll Administrator performs the complete payroll function from processing to final reconciliation.

Pay information must be verified and reconciled accurately, taking into account relevant legislation, company policies, and audit requirements.

Accurate payment of salaries and wages must be ensured for every pay period.

The role includes preparing a detailed analytical review of salaries for each payroll cycle, identifying and explaining material variances from the prior month.

Various reconciliations must be performed, including reconciliation of National Bargaining Council leave against Sage300 People balances.

Accuracy and compliance are essential in every stage of payroll processing.

Compliance and Legislative Requirements

The Payroll Administrator must maintain a strong working knowledge of labour legislation and statutory payroll requirements.

Practical knowledge of employee tax regulations and statutory deductions is required to ensure compliance.

Knowledge or exposure to the National Bargaining Council Collective Agreement for the Road Freight Industry is advantageous.

Experience with Africa payrolls and related legislation is considered beneficial.

Compliance with audit standards and preparation for both internal and external audits form part of the role’s responsibilities.

Payroll Systems and Reporting

At least three years of experience processing payroll using SAGE300 People is required.

Strong payroll principles, computer literacy, and system proficiency are essential.

The role requires the ability to coordinate and control payroll information from distant regions, ensuring consistency and accuracy across multiple areas.

Analytical payroll reporting must be prepared and submitted in accordance with management requirements.

The Payroll Administrator provides ongoing support to the Payroll Supervisor and assists with payroll-related reporting and analysis.

Audit and Support Responsibilities

The role includes preparation for internal and external audits, ensuring that payroll records and reconciliations are complete and compliant.

Support must be provided to the Payroll Supervisor to ensure smooth payroll operations.

Additional ad hoc payroll-related tasks may be assigned by management as required.

Strong organisational skills and the ability to manage multiple payroll responsibilities are essential for success in this role.

Minimum Requirements

Grade 12 / Matric is required.

Bookkeeping, Accountancy, or Payroll Certificate or Diploma is required.

At least five years of experience in the same or similar role is required.

At least three years of payroll processing experience using SAGE300 People is required.

Knowledge or exposure to the National Bargaining Council Collective Agreement for the Road Freight Industry is advantageous.

Experience with Africa payrolls and legislation is advantageous.
