Purpose of the Role

The Parts Manager is responsible for managing all parts operations within the AFGRI dealership — maximising profit through parts sales, maintaining accurate inventory control, managing expenses, and ensuring complete customer satisfaction. The role combines commercial accountability, operational management, people leadership, and compliance responsibility across the full parts department function.

This is a senior management role that requires proven leadership capability, strong parts and inventory knowledge, customer relationship management skills, and the financial acumen to monitor performance and implement corrective action at a departmental level.


Key Responsibilities – Parts Manager

Inventory & Stock Management

  • Oversee all stocktaking and stock counting activities across the parts department, ensuring accuracy and full reconciliation with system records.
  • Maintain an accurate, efficient, and reliable parts inventory control system at all times.
  • Manage all stock returns and claims professionally and in line with supplier and AFGRI procedures.
  • Order parts and AMS (Ag Management Solutions) stock in line with customer demand, seasonal requirements, and inventory optimisation targets.
  • Implement stock control procedures that minimise obsolete stock, reduce write-offs, and ensure fast-moving parts are consistently available.
  • Monitor stock levels, identify slow-moving and critical parts, and make evidence-based recommendations to optimise inventory investment.

Parts Sales & Revenue Management

  • Drive parts sales performance across the dealership, maximising revenue from counter sales, workshop supply, and external client orders.
  • Monitor monthly parts income and expenses, identify deviations from budget, and implement corrective measures timeously.
  • Identify opportunities to grow parts revenue through improved product availability, proactive client engagement, and parts promotions.
  • Support the service and workshop departments with timely and accurate parts supply to maximise technician productivity and first-time fix rates.

Warranty Claims Management

  • Manage and follow up on all warranty claims relating to parts and components across the dealership.
  • Ensure all warranty claims are submitted accurately, timeously, and in compliance with manufacturer and AFGRI requirements.
  • Monitor warranty claim turnaround times and escalate outstanding claims to prevent revenue leakage.
  • Maintain complete and accurate warranty documentation records for audit and compliance purposes.

Customer Relationship Management

  • Build and maintain strong, trust-based relationships with both internal stakeholders (workshop, service, sales teams) and external clients (farmers, operators, and agribusinesses).
  • Ensure all customer queries and complaints relating to parts are resolved promptly, professionally, and within prescribed service turnaround times.
  • Monitor customer satisfaction levels within the parts department and implement improvements where gaps are identified.
  • Represent AFGRI’s values of reliability, integrity, and agricultural expertise in every client-facing interaction.

Financial Monitoring & Reporting

  • Monitor monthly parts department income and expenses against budget targets.
  • Identify and report any financial deviations to the Branch Manager with clear explanations and recommended corrective actions.
  • Implement cost control measures within the parts department to manage expenses within approved parameters.
  • Contribute to the annual budgeting process for the parts department with accurate data and informed forecasts.

People Management & Team Development

  • Manage all parts department employees, including setting clear Key Performance Areas (KPAs) and monitoring performance against agreed standards.
  • Identify training and development requirements for team members and implement appropriate development interventions.
  • Ensure fair and consistent disciplinary action is applied to address performance or conduct deviations in line with AFGRI’s HR policies and the Labour Relations Act.
  • Foster a positive, high-performance team culture within the parts department, driving engagement, accountability, and service excellence.
  • Conduct regular performance reviews, provide constructive coaching and feedback, and build succession within the team.

Risk Management & Compliance

  • Develop and implement a risk management plan for the parts department, identifying key risk areas and implementing preventative controls.
  • Ensure full compliance with AFGRI’s Health and Safety Policy and all applicable legislative requirements across the parts department.
  • Conduct regular compliance audits and risk assessments, reporting findings and recommended actions to the Branch Manager.
  • Ensure all parts department staff are trained on and adhere to safety, compliance, and operational procedures.

Minimum Requirements – Parts Manager

Educational Qualifications

  • Grade 12 (Matric) — required
  • Additional qualifications in parts management, business management, or supply chain are advantageous

Work Experience

  • Minimum of 5 years of related parts experience — essential
  • At least 2 years must have been in a supervisory or management capacity — essential
  • John Deere parts experience is a strong advantage
