Key Responsibilities – Bookkeeper, PA & Administrator

Full Bookkeeping Function

  • Manage the full bookkeeping function independently through to trial balance for both the NGO and consultancy.
  • Capture and reconcile supplier invoices accurately and timeously — full creditors management.
  • Manage debtors including invoicing, statement distribution, and proactive follow-up on outstanding payments.
  • Process and issue invoices correctly and in accordance with organisational procedures.
  • Load all payments for approval on the banking platform, ensuring accuracy and correct authorisation workflows.
  • Perform regular bank and account reconciliations to ensure all financial records are clean and up to date.
  • Maintain accurate, well-organised, and fully retrievable financial records at all times.
  • Liaise with the external accountant when required and prepare comprehensive handover documentation for year-end and audit processes.

Financial Reporting & Payments

  • Produce regular financial reports as required by the CEO and management.
  • Process supplier payments accurately and in line with payment terms and organisational approval procedures.
  • Review confidential financial contracts and related documentation as required.

PA & Diary Management

Minimum Requirements

Experience

  • Minimum of 5 years’ bookkeeping experience — essential
