Broll Property Group is seeking a professional, well-organised, and proactive Office Assistant to join the Centre Management team at The Grove Mall in Pretoria, Gauteng. This permanent, entry-level administrative role falls within the Investor Services division and Resilient Portfolio business unit, supporting daily centre operations and administrative coordination in a busy retail property environment.

This role is ideal for a candidate with strong administrative fundamentals, excellent communication skills, and the ability to manage multiple tasks while maintaining a professional front-of-house presence. The successful candidate will act as the first point of contact for calls and enquiries while providing essential administrative support to management, tenants, and internal stakeholders.

Role Overview

The Office Assistant plays a key role in ensuring the smooth day-to-day functioning of the Centre Management office. The position requires a high level of organisation, attention to detail, and professionalism, as the role supports both operational and administrative functions within a retail property environment.

The Office Assistant will be responsible for handling enquiries, supporting office administration, maintaining records, and ensuring that communication between tenants, clients, and management is efficient and professional at all times.

Key Responsibilities

The successful candidate will be responsible for handling incoming calls and enquiries in a professional and courteous manner, ensuring that callers are assisted efficiently or directed to the appropriate departments or individuals.

The role includes regular communication with clients, tenants, and centre management, requiring clear verbal and written communication skills and a strong customer-service mindset.

Administrative support duties include assisting with general office administration, supporting the operations department, assisting with invoicing processes, and ensuring that all administrative tasks are completed accurately and timeously.

The Office Assistant will be responsible for preparing, maintaining, and updating records and reports, ensuring that all information is accurate, current, and well organised. Filing systems, both digital and physical, must be maintained to a high standard and kept up to date at all times.

A key aspect of the role is projecting and maintaining a professional image for the Centre Management office, ensuring that interactions with stakeholders reflect the standards and values of the organisation.

Administrative and Operational Support

This position supports the broader Centre Management function by assisting with operational administration as required. The Office Assistant will work closely with management and operational teams to ensure that documentation, communication, and recordkeeping support the effective running of the shopping centre.

The role requires flexibility, as occasional weekend or after-hours work may be required to support centre operations or events.

Qualifications and Experience

A Matric certificate is required for this role.

Candidates must have a working knowledge of office management systems and procedures and be proficient in Microsoft Office, including Excel, Word, and PowerPoint.

Experience using office equipment such as printers and scanners is required.

Previous administrative experience within a centre management or retail property environment is advantageous but not essential.

Strong typing skills and excellent written and verbal communication skills in English and Afrikaans are required.

Skills and Competencies

The ideal candidate will demonstrate excellent interpersonal and public-relations skills, with the ability to interact professionally with tenants, clients, and management.

Strong organisational skills, analytical thinking, and problem-solving ability are essential for managing administrative workloads and priorities effectively.

Excellent time-management skills and the ability to prioritise tasks are critical in a fast-paced retail environment.

The candidate must be willing to work weekends and after hours when required and must be Pretoria-based with a Code 8 driver’s license and own transport.
